UCI Zoom Temporary Upgrades
A small number of UCI Zoom Temporary Upgrade licenses are available to UCI faculty and staff who have a Zoom account on https://uci.zoom.us or https://uci-hipaa.zoom.us.  If you have an account on https://ucihealth.zoom.us or any other Zoom provider, please contact your help desk for assistance.

Reservations are limited to 7 days or less, one reservation every 3-4 weeks due to high demand. Term-long licenses upgrades are available for qualifying classes listed in the Registrar's Schedule of Classes. During this window, the license will be available to one UCI Zoom account holder to hold events and practice sessions.

For webinar licenses, we recommend selecting the start date 4-5 days before the actual event date, and the end date one day after.

For meeting licenses, we recommend selecting the start date 1 day before the actual event date, and the end date one day after. Note, Zoom does not limit how many people can register for a meeting, meaning your default Meeting 300 license will not limit registration to only 300 registrants, it only limits how many can actually enter the meeting space for the event.

Submitting this form DOES NOT mean you will be approved. An administrator will review the request and:
- IF APPROVED, a UCI Zoom Upgrade license will be reserved, the event will be scheduled on a master calendar, and an acknowledgment will be sent to the requestor.
- IF DENIED, an email will be sent with an explanation and can work with you to find a solution.

After approval, the UCI Zoom Temporary Upgrade license will be applied to the assigned UCI Zoom account holder on the start date. No additional actions are necessary.

Zoom Cloud recordings will remain available after the upgrade license is removed, but data reports for webinars will need to be run and saved before the webinar license is removed.

At the present time, there is no fee for this service.

ZOOM WEBINARS LARGER THAN 1,000

If you have more than 1,000 attendees or your preferred license is not available, consider live streaming your event through YouTube Live. Set up requires at least 24 hours before your event. CONVERTING A MEETING TO A WEBINAR

For webinar users who need to send invitations/registration more than 7 days in advance, there is the option to ‘Convert Meeting to Webinar.’

The feature allows a meeting to act as placeholder for the webinar until the upgrade license is applied to the account. Meeting invitations or registration links can be sent to attendees, as well as alternate hosts. Note for webinar panelists, you must wait until the webinar license is applied as panelists are sent a unique link when added to the webinar.

After the webinar license is applied, the meeting can be converted to a webinar while keeping the previous invitation links the same, even the link sent to approved registered attendees, if applicable.
NOTE: If a meeting is in a recurring series, all meetings in that series will be converted to a webinar.  Also, Zoom does not limit how many people can register for meetings.
