Event Venue Booking Form for External Organisations

This booking requisition form is for events held at St Mary's:
(a) From external organisations;
(b) Is non-pastoral (eg. social events or celebrations involving non-parishioners);
(c) Is large-scale (more than 150 pax);

Kindly note the following before filling up this form:
(1) No meetings or events can take place in church without an approval.
(2) All meetings and events should end by 9.30pm unless approval has been given.

Do note the following before filling up the Room Booking form:

  1. Booking of these facilities are subject to approval by the Parish Priest.

  2. To ensure a smooth booking process, please provide specific details about your event, including any supporting document if necessary.

  3. All events should end by 9.30pm.

  4. Understand the capacities, features, and limitations of each room to determine the most suitable option for your event.

  5. To allow us time to process, bookings must be made at least 7 working days (excluding weekends) before the booking date. Bookings received from Friday 6pm and over the weekends, will only be processed the following week on Monday. Any late/last-minute requests will be considered on a case-by-case basis and we seek your understanding if we are unable to accede to these requests.

  6. If a requested room is unavailable, you will be offered an alternative room. 

  7. Await Confirmation: The church staff will review your booking request upon receiving your booking form submission. They may need to check the venue availability, consult with relevant personnel and confirm your booking. Be patient during this process, as it may take some time.

  8. An email will be sent to notify you that your booking is successful. Else you will be contacted for more information.

  9. Confirmation and Payment: Once your booking is confirmed, the church office will provide you with a confirmation notice or contract outlining the details of your event and any associated fees or deposits required. Follow their instructions for payment and ensure any necessary paperwork is completed. Only upon your payment or deposit will the venue be blocked and secured for your event.

  10. Holding of room: On a case to case basis and subject to approval, we may allow holding of the room (tentative booking) up to 2 weeks if the room is available upon your booking request submission. A deposit or full payment may be required.

  11. Cancellations: There will be forfeit of booking fees based on the following cancellation time-line. 1 month before event - 50% forfeit If 2 weeks before event - 75% forfeit If 1 week or less before event - 100% forfeit
