This form is for new users to the Carlford Benefice Google Workspace to apply for an account and agree to the user agreement.

To set up an account we need some of your personal information and by completing this form you agree to that being held by the benefice.

After the form is submitted we will email you your new account details and instructions.

User Agreement
By applying for Carlford Benefice Google Workspace account (the system) you agree to use it for the purpose of church activities.

So that the benefice can have an understanding of where benefice related information in your keeping is stored and communicated the benefice will expect that computer files and documents you receive and create related to benefice activities will be stored within the system instead of other systems available you for instance private devices. The benefice will  also expect you will use the system for the purposes email communication instead of other private accounts.

The benefice has a Privacy Notice here that provides assurances to third parties how we will manage their data. By apply for this account you agree to that notice in particular the paragraph on Sharing your personal data:

"Your personal data will be treated as strictly confidential and will only be shared with other members of the church in order to carry out a service to other church members or for purposes connected with the church. For instance sharing a rota. We will only share your data with third parties outside of the benefice with your consent.

How long do we keep your personal data?
We keep data in accordance with the guidance set out in the guide “Keep or Bin: Care of Your Parish Records” which is available from the Church of England website.

Specifically, we retain electoral roll data while it is still current; gift aid declarations and associated paperwork for up to 6 years after the calendar year to which they relate; and parish registers (baptisms, marriages, funerals) permanently."
