1. WHY are we showing you this document?
This document is meant to allow you to have all the information necessary to decide whether to participate in the ADI survey, in a simple and intuitive format. This way, you can choose to share your personal data in a conscious and informed way, with a guarantee that the handling of those data, using both manual and automated processing, will happen in full compliance with the principles of correctness, lawfulness, transparency, and confidentiality. You will also enjoy all the protections and rights recognized by the General Data Protection Regulation (EU Reg. 2016/679, GDPR for short) and the Italian d.lgs. n. 196/2003, as amended by d.lgs. n. 101/2018 after GDPR came into effect.
2. WHO will handle your personal data?
The data controller is ADI - Associazione Dottorandi e Dottori di Ricerca in Italia (Association of Ph.D. students and holders in Italy), whose legal address is via Ancona 21, 72017 Ostuni (BR), (C.F. 95037210127). You can also reach us by email: sportello.adi@dottorato.it.
Data might also be handled by the persons who are authorized to process personal data, i.e., members of ADI to whom the association delegates the statistical analysis partly or in full. These individuals, who are authorized to handle personal data under the direct authority of the data controller, will be provided instructions to ensure the security and correct use of personal data.
3. What are the PURPOSES that the data will be used for?
The data you voluntarily provide us when filling out the survey are handled for the aim of statistical analysis: ADI is interested in finding out the impact of the health emergency due to COVID-19 on the working conditions, career perspectives, and personal and relational life of Ph.D. students and early-career researchers in Italy. The results obtained after analyzing the responses to the survey may be used to write documents and reports that will be used to further ADI’s institutional and union activities, which may be attached to possible reform proposals of the current structure of the research labor system. In any case, the publication or communication of the data from the survey will only be in an aggregated and anonymized form.
4. What is the LEGAL BASIS for the treatment of your personal data and WHICH KINDS of data am I giving?
The legal basis for the treatment of the data is given by your consent to participating in the ADI survey. Your data will only be handled and processed for the purposes stated in point 3. The personal data you are sharing will be the ones in the survey form, including, as an incomplete example, gender, age, and university education. Refusing to share the data asked in the questions marked as mandatory will make it impossible to proceed with the form and participate in the ADI survey.
5. HOW do we gather your personal data?
The gathering and processing of your personal data will be subject to your consent in advance, which is given when you fill out the survey form. The processing might be performed with or without automated tools, only for the purposes stated in point 3 and ensuring that adequate security and confidentiality measures will be adopted.
6. WHERE are your data going to be stored?
Your personal data are stored by the data controller, on paper and/or electronic servers, and handled inside the European Union.
7. WHO will your personal data be communicated to?
Your personal data will not be communicated directly, outside the data controller and processors. Some data may be shared in an aggregated form, in such a way as to make the identification of people who responded to the survey impossible, for the purposes specified in point 3, with private and public subjects, if ADI deems the communication necessary to fulfill the purposes of the survey and the association, on a national and local level, following the association’s statute.
8. HOW LONG will your personal data be used?
Following the principle of necessity, your data will only be used for the strictly necessary time to fulfill the purposes described in point 3 of this document.
9. How can you REVERSE your consent?
You will be able to reverse your consent to the handling of the data at any time, either partially or totally, without affecting the lawfulness of the processing based on the previous consent you gave when you responded to the survey. In order to do that, you just have to contact the data controller using the means listed in point 11 of this document.
10. What are your RIGHTS?
You can ask for access to the personal data you shared with ADI at any time, and ask for changes, corrections, or the destruction of the data. You can also complete them, update them, or ask for a copy. Specifically, you will be able to exercise the following rights enumerated by the GDPR (art. 15-21), by contacting the data controller at any time:
-receive confirmation of the existence of your personal data and access their content (RIGHT OF ACCESS);
-update, change and/or correct your personal data (RIGHT TO RECTIFICATION);
-ask for their deletion or to limit the treatment of data in case of violations, including those for which conservation is not necessary to the stated purpose of the data gathering and handling (RIGHT TO ERASURE AND RIGHT TO RESTRICT PROCESSING);
-object to the treatment of the data at any time (RIGHT TO OBJECT);
-revoke consent, where given, without changing the lawfulness of the treatment based on the previous consent;
-present a complaint to the legal authority in case of violation of the data protection laws and regulations (RIGHT TO PRESENT A COMPLAINT TO THE LEGAL AUTHORITY);
-receive an electronic copy of your personal data and ask to share the data with another data controller (RIGHT TO DATA PORTABILITY).
11. WHO CAN YOU CONTACT to reverse your consent and exercise your rights?
In order to exercise the rights above, you just have to contact the data controller by either of the following means:
-Sending a registered letter to ADI - Associazione Dottorandi e Dottori di Ricerca in Italia, c/o Luca Dell’Atti, via Ancona 21, 72017 Ostuni (BR);
-Sending an email to the official address sportello.adi@dottorato.it.
