Induction: Hotdesking Postdoc Centre @ Mill Lane
NB: There is a separate induction form for use of the event spaces at Mill Lane.
This is a compulsory induction for the use of the hot-desking space at the Mill Lane.
Please use your CRSid email address if you have one.
Upon completion of this induction, the PdA team will contact you when your card has been activated for access to the centre. Postdocs at University Partner Institutes will be issued with a temporary access card.

Use of the space

Hot-desking space is available 24/7, whenever possible.
Hot-desking spaces and the monitors are available on a first-come, first-served basis. Monitors should not be removed from the space.
In the event the hot-desking space needs to be closed, prior notice will be given where possible.
You cannot complete this induction on behalf of another user.
For security reasons only users with activated cards are allowed to enter the building - do not share your card or use it to give access to any other users
The University cards are programmed by Mill Lane Facilities which might take up to 5 working days. Please wait for a confirmation email before travelling to the centre.
Leave the hot-desking space clean and tidy ready for the next user.
Leave the toilets and kitchen clean, tidy and as you found them.
Printer is for PdA staff use only.
The space is for quiet use only, and not for use as a social/eating space.
No online meetings can take place in the area, unless you are just listening with headphones.
If you do need to take a call, please use the library or check if one of the meeting rooms are free. You can check the rooms are free from our website using the QR codes displayed at the Centre.
All users should treat our staff and other building users with respect.

The entrances to the building and the postdoc centre must NOT be propped open at any time.
The water dispenser in the corridor can be used by the centre users. Please empty the water tray if you find it overflowing.
Shared toilet facilities are available to use in the corridor approaching the centre.
No preparation of hot food is possible at the centre. Please be respectful of other users if consuming pre-prepared lunch in the centre.
Please be mindful of others if opening windows or adjusting the heating.
If you are issued with a new University card you will need to inform us so that the new card can be activated to replace the previous card.
Disabled Access: Limited access. There is a short flight of steps leading down to the basement where the postdoc centre is located, but unfortunately no elevator or stair-lift is available.

Entrance: Hold access card over small black key pad to open the door.
Corridor: Go straight down corridor and through the door at the end in order to get to the workspace.
Office space entrance: Door to the right leads to hotdesking (hold card over panel on wall). The left hand door leads to the event spaces.
Hot-desking area: Network cable and Wireless internet access. Monitors available on first-come, first-served basis.

The Fire alarms are tested on Wednesdays at 10.30 am.
In the event of a fire alarm, leave through the nearest fire exit and go to the assembly point at Laundress Green by the punting stations.
The premises must be left secure with all windows and doors closed and locked. All lights must be switched off.
Lone Working: Please consider whether you are more vulnerable than others (eg, pregnant; requiring assistance to exit the building; unable to clearly communicate during an emergency). Information relating to these types of vulnerabilities must be referred to the Postdoc Academy prior to agreement to work alone and outside of published office hours

A first aid kit is located in the entrance space to the Postdoc Centre.
Due to the challenges of hybrid working, it cannot be guaranteed that a first-aider or fire marshals will be present - in the event of an emergency, call 999 and evacuate if necessary.
