UROC Participant Travel Award Request

Opportunities for networking, professional development, and dissemination of research often require travel. UROC is proud to support (dependent on available funding) UROC students that are:

1) presenting oral or poster presentations at professional conferences,
2) attending conference (no presentations)
3) visiting prospective graduate schools, or
4) traveling for the purpose of summer research.

To provide you with funding for these trips, you must complete the following form. Refer to the UROC Travel Award Policy for additional information. Before any costs can be incurred by UROC, the University Corporation at Monterey Bay is required to approve your travel request. UROC will notify you if/when the approval is given to make travel arrangements. We also require that you inquire whether the host organization offers Travel awards. If so, you are REQUIRED to apply for these funds.

To provide you with funding for your conference, you must complete the following form at least 6 weeks in advance of your proposed conference participation.

Any reimbursement that you may receive after your trip (e.g. food expenses) will be sent to you from University Corporation in the form of a check.  Please provide the address where you wish to receive any checks, keeping in mind end of semester moving plans. Checks often are sent out several weeks after you close out your travel with UROC.

Provide a thorough justification describing how attending this conference/event will aid in the development of your scholarship and academic achievement.
Event Dates: Please note that we require a minimum of 8 weeks advance notice (from your expected dates of travel) for all travel requests. *

UROC needs to cover costs of student registration directly. If you pay your registration out-of-pocket in advance of this award request, you will not be reimbursed until after the trip (as per University policy). If you have already paid your registration, please explain by whom and when the registration was paid? A receipt MUST be provided for reimbursement if you are awarded travel funding.

Please indicate the Date you wish to travel. Registration times may require your travel to begin the day before the start of the event, which can affect your class attendance. Be sure to communicate this to and obtain the consent of your instructors before your trip.

To be in line with UCorp policy, airfare is purchased directly by UROC after approval of the "Request for Approval of Travel" (UCorp required form). UROC does not offer mileage reimbursement at this time.

Full Legal Name *
Provide your legal name as it appears on your Driver's License or other government issue ID. This name must match your airline ticket.
Gender (for Flight Arrangement only) *
This is NOT used for internal tracking. As mandated by the TSA (Transportation Security Administration) Secure Flight program, Customer's Gender information on the boarding pass must match the government-issued identification carried by the Customer during their travel. Will meals be provided by the host organization? *
If meals are provided, you CANNOT be reimbursed if you choose to have meals elsewhere. If you receive funding for food you MUST return itemized receipts of your purchases to UROC. There is a $55.00 per day maximum for what you can be reimbursed. If you spend more than $55.00 per day you will only be reimbursed up to this amount regardless of what you spent.
Have you applied for the Host Travel Award? *
Often conferences and other professional events offer travel awards or discounted registration for undergraduate and graduate students. To find out if the host organization offers these types of awards you can directly inquire by email or find out by searching their website. As a reminder, you are REQUIRED to apply for a travel award if one is offered by the host organization.
