PA Nomination Form 2021-22

Thank you for nominating an HSFI parent for the 2021-22 HSFI Parent Executive Board. Elections will take place for the following positions.

Parent Association President- The President shall preside at all meetings of the Association except the Nominating Committee. The President shall appoint chairpersons of the PA Committees with the approval of the Executive Board. Along with delegating responsibilities to other PA members and encourage meaningful participation in all parent and school activities. The President shall attend all regular meetings of the President’s Council and shall be a mandatory member of the School Leadership Team and regularly meeting with the Executive Board following the By-Laws to plan agendas for the general membership meetings. The President shall be one of the eligible signatories on checks and shall assist with the June transfer of PA/PTA records to the incoming Executive Board.

Parent Association Vice President- The Vice President shall assist the President and assume the President’s duties in his/her temporary absence or at the President’s request. The Vice President shall be one of the signatories on all checks oversees the membership committee and all sub-committees. If the position of President becomes vacant during a term of office, the Vice-President shall serve as President for the remainder of the term. The Executive Board shall vote to either fill the vacancy under the By-Laws. The Vice-President shall assist with the June transfer of PA/PTA records to the incoming Executive Board.

Parent Association Secretary- The Secretary shall maintain the official records of the proceedings and actions of all Association Meetings. This includes the following duties: 1) preparation of the notices, agendas, sign-in sheets, and materials distributed 2) prepare, read, and make copies of the minutes of each Association Meeting available upon request 3) maintain custody of the Associations records on school premises. The Secretary shall sign and incorporate all amendments into the By-Laws and shall ensure that signed copies of the PA By-Laws with the latest amendments are on file in the Principal’s Office. The Secretary shall also be responsible for reviewing, maintaining, and responding to all correspondence addressed to the Association; shall be a member of the School Leadership Team; and shall assist with the June transfer of all PA records to the incoming Executive Board.

Parent Association Treasurer- The Treasurer shall be responsible for the following duties while in office; 1) all financial affairs and funds of the Association 2) responsible for the transfer of the Association monies to the bank accounts of the PA 3) maintain all deposit slips with appropriate identification of funds 4) keep an updated record of income and expenditures on school premises, and 5) the authorized signatories on checks. The Treasurer shall adhere to and implement all financial procedures established by the PA Association, which includes but is not limited to; 1) financial Reports available at all Association Meetings 2) prepare and provide an interim Financial Report by January 31, 2021, and 3) complete annual accounting reports by June 30, 2021. The Treasurer shall make available all books of financial records for viewing by members upon request for an audit and the Budget Officer to enable the Budget Officer to perform his/her responsibilities in a timely manner; and shall also assist with the June transfer of the Association’s records to the incoming Executive Board.
