The 2021 Adult Retreat is a virtual camp experience brought to your home via the online platform, Zoom, by Diabetes Youth Families (DYF). This document outlines the precautions DYF is taking in regards to online safety, as well as the guidelines we expect participants to follow. By registering for any DYF program, you are agreeing to the Participation Guidelines.

Precautions taken by DYF:
The health and safety of our participants remains our top priority. This program is meant to foster connection and community between campers, volunteers, and staff, just as our in-person programming does. All staff and volunteers have been trained and have agreed to abide by the following guidelines.

● Staff/Volunteers will not contact campers under the age of 18 outside of official channels provided by and monitored by DYF year-round staff.
● Staff/Volunteers will not be one-on-one with campers under the age of 18 in virtual settings.
● All Zoom sessions will be password protected. The password and meeting link will be provided after registration. Staff/Volunteers will utilize the “waiting room” function, which allows them to manually admit only participants that registered.
● Chat/file sharing/screen sharing capabilities will only be available to the host unless otherwise specified. Participants may be able to screen share and message the entire group if the session requires it, but that will only occur in controlled settings for a limited time period.
● Based on the program, DYF may group campers by age ahead of time and/or have age restrictions in place for participation.

Participation Guidelines:
Participants must review these guidelines prior to participating.

● Participants will not engage in any form of cyberbullying, including but not limited to: hurtful or threatening messages, exclusion, offensive comments, or inappropriate content/language.
● Sharing personal information via Zoom such as email, phone number, address, school, photos of themselves, or social media handles is at the discretion of the adult participant.
● Participants will not contact DYF Staff/Volunteers outside of the official channels provided by DYF.
● Participants and Parents/Guardians understand that Staff/Volunteers remain mandated reporters while working with participants in the virtual setting.
● Only participants registered for the 2021 Adult Retreat program may participate in the program offerings they are specifically registered for.
● Participants are prohibited from recording any DYF programs and may not share the meeting link or password with anyone.
● Participants under 13 years of age will have Parent/Guardian supervision and approval in any online accounts that they may participate in.
● Participants age 13-17 must have Parent/Guardian permission to participate in any activity that may be accessed through their own social media or other online accounts.
● Participant will ensure they are appropriately dressed and that the computer and camera that they are using does not show inappropriate things in the home. If possible, the camera will face a blank or non-descript wall or will use an appropriate virtual background.
● DYF Staff/Volunteers have the right to ask any participants that do not follow the above Participation Guidelines to leave the session and year-round staff may issue warnings and temporary or permanent bans from DYF virtual sessions.

Waiver and Release

I realize that there is risk of injury in all activities and play. While all prudent safety precautions are taken by staff and volunteers, activities naturally involve some risk to participants. Unless I have specified any activity in which I prefer the participant(s) not participate, he/she/they is/are free to participate in all activities offered during the course of the program.

I further agree, on behalf of the child(ren), myself, and any and all legal successors and proxies, to release and HEREBY DO RELEASE, WAIVE AND COVENANT NOT TO SUE DYF, its officers, directors, agents, employees, volunteers, insurers and representatives (“Releasees”) from any causes of action, claims, suits, liabilities or demands of any nature whatsoever including, but in no way limited to, claims of negligence, which Minor, myself, and any and all legal successors and proxies may have, now or in the future, against Releasees on account of personal injury, property damage, disability, death, sickness, disease or accident of any kind, arising out of or in any way related to the use of Facilities or participation in Programs, whether that participation is supervised or unsupervised, however the injury or damage occurs, including, but not limited to, the negligence of Releasees.

DYF is also authorized to use any likeness, voice or words of the participant(s) for public relations, fundraising, and other promotional purposes on the internet, media and/or print designated to further the purposes of DYF.
