2019 New England Roots Festival Art/Craft Vendor Application
GAD is seeking quality vendors of art, as well as vintage and artisanal goods to display and sell wares at our 2019 New England Roots Festival on 9/28/19. This agreement includes information and guidelines for interested concessions of Art, Craft, Artisinal, and Vintage Goods at the New England Roots Festival 2019, and is relevant and binding only to the date of 9/28/2019.

Unit Placement:
GAD will provide Art/Artisan/Craft unit placements for the New England Roots Festival 2019. GAD reserves the right to determine final unit placement prior to event, though Vendor preference will be taken into account. GAD will provide Vendor with market map, demonstrating their location, no later than two weeks prior to the event. GAD determines the ideal unit placement based upon the following factors:
-    A Unit is deemed to be a 10’ x 10’ square of space, vendor is responsible for any desired tent/table.
-    Unit placement should work harmoniously with (not block or compete) existing businesses
-    Unit placement should allow for free-flowing foot traffic from 3,000-5,000 event attendees
-    All units must be self-contained. There will be no external electricity or water available
-    Vendor may sign up for up to 3 Units.

Vendor Participation Fee:
Vendor agrees to pay a fee of $35.00 for one Unit and participation in the event, $55 for two Units and participation in the event, and $75 for three units and participation in the event, with payment due upon completion of this form. Vendors are to be sole lessee and may not sublet space to other individuals.

Payment for Vendor fees can be remitted via our online portal at DowntownNashua.org/Donate or via check, made out to Great American Downtown, Inc. and mailed to Great American Downtown, 6 Main Street, Nashua NH 03064. Payment should be submitted at the same time as filling out this application. In the event that your application is rejected for any reason, GAD will issue a full refund.

Portfolio Submission:
GAD requests that all vendors submit, along with their application, links to relative websites, social media pages, and/or photos of their work to Jenn@DowntownNashua.org. GAD will use these resources as a tool to determine that the vendor applying sells products that align with the level of quality desired for the event, and may refuse any applications at GAD’s sole discretion. If the application is accepted, this information will also be used by GAD in promotion of the vendor and of the event.

Unit Set Up:
Street closures will be complete at 1pm.
Vendor will start set up between 1-2pm on the day of the New England Roots Festival, and no later than 2pm. Exceptions to this rule will be outlined on a case by case basis and must be discussed directly with the GAD team.
Vending will begin at 2:30pm on the day of the festival. Vendors will remain in place and available to do business through 10pm, even if they have very little product remaining.
-       Note: no electricity or water will be provided
-    Vehicles will be permitted  to the Vendor area for unloading, and all vehicles must be moved from the Vendor area no later than 2pm.
-       Vendors using power generators must use “silent” generators with a volume output less than 60 decibels. Vendors not in compliance will be asked to leave without refund issued.
-       GAD encourages the use of extra lighting (flood lights, LED signage, etc). The sun sets at 7:51pm on the day of the event.
-       Electrical and all other cords must run behind vending units to avoid tripping hazards. All cords must be secured and covered.
-    Vendor is to be sole business operating out of their Unit(s), and may not sublet space.

Trash Disposal:
-       Vendors must bag and dispose of their trash/cardboard/recyclables in the proper receptacles.
-       The City will pick up vendor trash if it is left neatly stacked next to the City trashcan units.
-       All cardboard must be flattened.

Hold Harmless:
By completing this form I agree that I, the Vendor, shall defend, indemnify, and hold harmless the City of Nashua and Great American Downtown, their officers, officials, employees and volunteers from and against any and all claims, suits, actions, or liabilities for injury or death of any person, or for loss or damage to property, which arises out of Vendor’s participation in NERF, or from the conduct of Vendor’s business, or from any activity, work or thing done, permitted, or suffered by Vendor during or about NERF, except only such injury or damage as shall have been occasioned by the sole negligence of GAD or the City of Nashua.

Other Rules & Regulations:
- Vendors are subject to all ordinances, procedures, regulations, and guidelines as established by the City of Nashua and all other applicable State and Federal regulations.
- Vendor is directly responsible for any instances of NOT adhering to GAD’s rules, regulations and policies including but not limited to:  unit set up terms, adherence to concessions map, and trash disposal policy.
- Vendors must be set up and are expected to be ready to sell by, but not before, opening time on the day of the NERF. -
- Vendors are expected to sell until, but no later than, the end of the market.
- Vendors shall conduct sales only from their Unit(s) location at all times during the event. Violation of this rule shall result in immediate license revocation.
- Vendors may not sublet any portion of their Unit to another Vendor.
- Each Unit shall display a logo or signage identifying the name of Vendor.
- Any tent/canopy set up in Vendor Unit must have a minimum of 1lb/sq ft of canopy, the equivalent of 25lbs per leg of a 10x10ft tent. Vendor is solely responsible for ensuring adequate weighting of tents/canopies.
- Tents/Canopies must stand alone, and be weighted individually, multiple tents/canopies may not share weights or be tied to one another in any way.
- Site inspections will take place at the end of the event.
- Vendor is responsible to collect and carry out all trash within a 20ft radius of their location within 30 minutes of event ending time (10pm), regardless of whether or not the trash originated from their Unit or products.
- Each vendor will be responsible for setting up, displaying and packaging his/her goods, and for providing protection from the elements
- There will be no smoking by Vendors within a 100 foot radius of vending area.
- High pressure tactics may not be used by vendors to sell their products.
- Vendors must be clean and presentable.  Shoes and shirt are required.
- Vendors are strongly encouraged to maintain $1 million/$2 million liability insurance, please submit proof of insurance with Great American Downtown & City of Nashua listed as additionally insured where applicable.
- There is no rain date for this event, and participation fees are non refundable.
