Havel Volunteer League (HVL) 21/22 Board Nomination Request Form.
The Havel Volunteer League is seeking nominations for the 21/22 Havel Volunteer League (HVL) Officer Positions. If you, your spouse, or someone in our Havel family is interested in being a Board Member, now is the opportunity!

The board positions include President, Vice President, Treasurer, Secretary (Recording), and Secretary (Reporting). A description of each of the positions can be found below.

Due to extenuating circumstances caused by the COVID-19 Pandemic, HVL Board member nominations will be accepted via this form.

Nominations will be accepted beginning Tuesday, April 13th, and run through midnight of Sunday, April 23rd. Nominations can be made by the candidates themselves or by another HVL member via the online form. Nominations must be submitted no later than Midnight of April 23, 2021 for consideration.

At the conclusion of the nomination period, the current HVL President will contact each nominated individual on during the week of April 26th - 30th and they will be given the opportunity to accept or decline the nomination. Those that accept the nomination will be added to the election ballot.  

Elections will take place once all nominations have been accepted/declined on May 5th and run through midnight, May 12th. Any votes received after midnight will not be valid.

The duties of the Executive Board (officers) include the following, however is not intended to be an exhaustive list. 
President
·Preside over executive board meetings.
·Set up agendas with suggestions for topics from other board members and school principal.
·Work within the Havel community to encourage membership participation.
·Thank volunteers for their contributions using various mediums.
·Notify board members if there is a need for a special meeting
·Keep school principal, or designated contact, informed of matters pertaining to HVL
·Review and approve HVL communications and obtain school principal approval prior to distribution.
·Notify individuals that they have been nominated for the HVL Executive board prior to elections taking place.
·Perform other duties as prescribed in these bylaws or as determined by the organization.

Vice President
·Preside over meeting in the absence of the President.
·See that files are kept up-to-date and that they contain all necessary information from the chair people.
·If for any reason President is unable to complete their term, the Vice-President shall assume the duties until a new President is elected. In the event they
decline, an election shall take place.
·Keep record of chairperson’s and request that each chairperson keeps an accurate list of volunteers. Provide the chairperson with an “Event Debrief” form, or
quickly debrief to obtain the information verbally.
·Perform other duties as prescribed in these bylaws or as determined by the organization.

Treasurer
·Have charge of and be responsible for all funds of the organization and shall receive and give receipts for monies due and payable to the organization from
all sources and shall deposit such funds in such banks as selected by the Executive Board.
·Make disbursements as authorized by the membership in accordance with the budget adopted by the organization.
·Reimburse chairpersons within seven (7) days of receiving receipts for approved/budgeted events and activities.
·Ensure the taxes are filed appropriately and on time.
·Keep an accurate record of receipts and expenditures and present a financial statement at every meeting and at other times when requested by the Executive
Board.
·Be responsible for creating and publishing the monthly report of income and expenses.
·Ensure that all funds deposited into the HVL bank accounts are the sole property of HVL and available for use based on membership discretion.
·Ensure that tax documents are retained for 7 years and all other records for 10 years. Ensure that any older documents are properly shredded.
·Perform all duties incident to the office of Treasurer and such other duties as may be assigned by the President or Executive Board

Secretary (Recording)
·Keep an accurate record of all meetings.
·Keep an accurate record of attendance at HVL meetings.
·Maintain the HVL Bulletin Board.
·Perform all duties incident to the office of Treasurer and such other duties as may be assigned by the President or Executive Board

Secretary (Reporting)
·Shall type and distribute the agenda and minutes of/for each meeting.
·Maintain the HVL Bulletin Board.
·Perform all duties incident to the office of Treasurer and such other duties as may be assigned by the President or Executive Board
