University of Alberta Library Digitization Project Proposal
This proposal form is for larger-scale digitization projects that support the principles of our digitization strategy. For smaller digitization requests (like one or two items) please see if our digitization on-demand program is appropriate. We welcome digitization proposals from the University of Alberta faculty, staff, students and the wider community.

To start the proposal process, fill out this form with as much detail as you can to outline the size and scope of the project. Once received, a digitization team member will be in contact with you to clarify any points and discuss the next steps. If you have any questions about the proposal form, you can email us at digitization@ualberta.ca.

Proposed project title 
The title is used for us to communicate about the project and can be changed at a later date. 
Project description
Write a short summary of the proposed project. This can be a short paragraph or point form. It should give a broad overview of the proposed size and scope of the project and why you want to do it. This is where you would include any special considerations, like grant deadlines, associated research projects, delivery requirements, and whether this is a one-time project or ongoing digitization. 

If you have any special relationship to the collection (e.g. you are the publisher, or you have already secured funding) please include that here. 

Collection Information
In this section, we'd like to know more about the collection of materials you'd like to digitize. Even if you don't have exact information or numbers, estimated information can help us understand more about the project. 
Description of materials to be digitized
Please include what types of materials you'd like digitized (e.g. books, letters, pamphlets, posters, slides, VHS, audio cassettes, films etc.), the amount and any size or dimension information. Even if you don’t have exact numbers, including a estimated number is helpful. This is also a good place to note any known processing, conservation, care, and handling needs.

Location of materials
Where are the materials located? If they are in the library collection, please provide a permanent link or a list. If not, who owns them and where are they located?
Description and arrangement

Is the collection catalogued or described anywhere? If so, please include a permanent link to the description or any list(s) you may have. Understanding what kind of metadata exists for the collection is helpful in determining necessary resources for digitization.

Copyright, Privacy and ethical considerations
In this section, please include any information you have about assumed rights, explaining why rights are known to be open, or, conversely, why rights are known to be restricted. Considerations may include privacy, copyright, appropriate treatment of Traditional and Indigenous Knowledge, and other rights.
Copyright
Please provide any information you have about the copyright status of the proposed collection. Is the materials in the public domain? Is it unclear who the copyright holder is? Has the copyright holder been identified and been contacted them for permission?
Privacy
Does the material contain any private, personal, or medical information that might lead to a privacy issue or need to be redacted?
Ethical Considerations
Please provide any information to help identify and explain any ethical considerations that may affect the circulation of, access to, or re-use of digital copies. Questions to consider include: What is the primary subject or the majority of the content in this collection relating to? Does this collection involve research conducted through a university study? Was informed consent given and documented? Are there any identifiable individuals in voice recordings, photos, or films? Are any of the individuals identified part of a racially marginalized community? Was the community consulted on this research project? Is there any potentially harmful content we should be aware of?
