Christmas Memories: 2019 CLPS Staff Christmas Party

The Staff Christmas Party is a chance for parents to say, "Thank you!" to the teachers, coaches, and administration at CLPS. This is ENTIRELY volunteer-run and is a beautiful and fun event for the staff and volunteers alike. Please find what you would like to do to help us this year!

Where: The Fountains Fellowship Church at 5298 Trail Lake Dr, Fort Worth, TX 76133

Color Scheme: Rustic Christmas colors, a mix of metal tones, with a splash of red and green will be used. The room will be decorated with lights and Christmas trees all around (lighted birch trees and wooden trees).

The new church we will be in is BIG and BEAUTIFUL! But, in order to be reasonable about costs, we want to ask for help decorating the space. Our team will be building and painting many cardboard trees and creating the snow backdrops, but we are also looking for some donated items (that you will get back). We are able to start transforming the space on Monday, Dec 2 until the event on Thursday, Dec 5. So, if you have items we can use to keep our costs down, you will get them back with plenty of time to spare for Christmas. Table Hostess (12 needed): Table Hostesses will decorate each table using their own centerpieces and dishes. The staff LOVES this, and it is always so beautiful to see all of the individual creativity from each hostess. (This year we will NOT need hostesses to bring silverware, napkins, or salt/pepper shakers.). Yes! I would like to be a table hostess! (More info will be emailed, but generally hostesses come before 5pm and decorate their tables. They are not required to stay throughout the event, but your items will need to be picked up at the end of the evening.)

The Work Crew (day of Dec 5): there is no way this party will happen without the Work Crew. We've broken tasks up into shifts this year so you can better plan your day and we can know when we have enough people!

"Week of" early set up (Mon Dec 2- Wed Dec 4): This year we are able to start working early. If you think you can be available for a bit earlier in the week, let us know, and we will coordinate times that make sense for everyone.

Morning Set Up (Dec 5: 9am-12pm): This will include setting up tables, helping to bring in all the decorations for the event, starting to get decorations put up around the room, and is admittedly a pretty busy time because it is our first chance in the room. Good attitudes and strong arms are highly encouraged (great for any men/teens among us that want to help!).

Afternoon Set Up (Dec 5: 1pm-4pm): More decorations! Y'all- the decorations committee will have some STUFF for you to do! We usually have a better idea of the overall flow of things by the afternoon and are busy getting it done. Less heavy lifting; more special touches and using tape and arranging.

Evening Serving Crew (5pm-8pm): The dinner starts at 6:30, but we will need servers to arrive before then to make sure we have the food ready to go. We generally serve from a line and this is SO FUN! We wear aprons, gloves, and make sure the teachers are well fed! We watch appetizer and dessert plates and replace accordingly. Good attitudes, smiles, and the ability to improvise are necessary!

Clean Up Crew (8pm-10pm): We transform the winter wonderland back to a church! We need tables broken down, floors vacuumed, sets broken down, decorations put away. Another great option for dads and teens!

Dish crew (7:30pm-10pm): The kitchen is not that big, so we need 4 designated dish rinsers during the clean up time. We will also be putting all of the dishes and centerpieces back in tubs for the table hostesses to retrieve.

Label checker: This year we are asking every table hostess volunteer and decorator to label their things using painter's tape. However, we will need to check them as they come in the door to ensure each item is labeled so it is returned to the rightful owner! This position can be broken up during the morning and afternoon shifts.

Errand runner: Honestly, the committee tends to forget things the day of the event. The errand runner will do just that: run errands for the committee. You might get tape, lunch, coffee, more coffee, cleaning supplies, or be asked to retrieve our sanity. Trust us- we need at least one person with a great attitude that is ok fetching things we forgot!

Appetizers: We need approximately 10-15 people to bring appetizers (including salads)! We are still working on the final menu, but it will likely be a traditional Christmas meal option. Please list your "go-to" appetizer options with that in mind, and we will send more information once we get the menu finalized to help provide more direction. (This year we will provide serving plates, so you will only need to bring appetizers in disposable containers.) Also- please note if you can provide an allergy/gluten-friendly option for the few teachers that need these. I can donate gift cards! If you like to donate early or preplan these types of things, please do. We ensure that every teacher/coach/ and staff member gets a gift card at the party. We will set up something in the office soon and let you know when the "box" is ready to accept gift cards.

I can grab some gift cards! Please make sure they are $25 or less and label them with the amounts. We add them up later and divide accordingly. All types of places are great for this: Target, Fuzzy's, Torchy's, Movies, Starbucks, Chick-fil-A, Walmart, Best Buy, etc.
