Full Disclosure of Additional Fees for you and your guests to be aware of and will ONLY be charged should you or your individual guests require these additional services not already covered in our agreement. Each individual reservation who requires any of these additional services will be charged the following. The bride and groom are not responsible to pay these fees for their guests.Â
CHANGE FEESÂ - Modifying your travel plans once the booking has been confirmed or making errors can result in significant expenses. A fee of $50 +HST per adult and $15 +HST per child aged 17 and under shall apply for any modifications such as but not limited to: name changes or corrections, date changes, room category changes, occupancy changes, destination changes, resort changes, flight change request, etc. requested subsequent to the confirmation of your/their reservation with a booking number. To avoid incurring these unnecessary fees, it is imperative to provide accurate information, including a copy of your passport(s), and sticking to your original travel plans once booked.
CANCELLATION FEES - Please be advised that cancellation fees will be charged before your/their trip is canceled. To safeguard your/their travel investment, it is wise to purchase cancellation insurance; please ask for a quote. If you or your guests have insurance coverage through extended work benefits or credit card provider, you/they may be eligible to claim these fees as part of your/their trip cancellation benefit. After all, stress-free vacations are always the best.Â
In the event that you or your guests need to cancel your/their reservation, the cancellation fee, along with any additional non-refundable fees and penalties as per the tour operator/airline's terms and conditions, will be charged to your/their credit card on file. The cancellation fee will be based on the total cost of your/their trip as outlined on the Professional Travel Advice and Services page of my website and specified in this agreement. The minimum cancellation fee amount would be $125* +HST per adult aged 18 and over and $25 +HST per child aged 17 and under.Â
EMERGENCY SERVICES FEES DUE TO CLIENT NEGELIGENCE:Â To ensure a seamless travel experience, please make sure to take note of the following:Â
In the event that you or your guests travel plans are disrupted due to client negligence, such as but not limited to: not having the necessary travel documents, arriving late for check-in, or missing a flight, an emergency service fee of $350 CAD + tax will apply only to the person's trip affected. Meeting all entry requirements, including necessary vaccinations, testing and documentation is the sole responsibility of each traveler and this information will be included in your invoice and Bon Voyage email to fully prepare all travelers for their trip.
My goal is to minimize additional fees and expenses when rebooking travel components. However, please note that pre-purchased components like vouchers, private transfers, fast-track services or lounges, etc. might not be recoverable.Â
Client Negligence - Failing to Prepare for Departure: Additional Charges for Last-Minute Urgent Requests.  Â
Please also note that any person's urgent requests to me for transfer information within 48 hours of departure to return home, will result in an charge of $200.00 +HST per booking.Â
Transfers and other IMPORTANT travel information will be included within your Bon Voyage email I will send out within 1 week of travel. It is imperative to take the time to read this email thoroughly and be adequately prepared in advance of travel or the very latest 48 hours before returning home to avoid this unnecessary fee.Â
Zero charges will be imposed if your urgent message is not related to any fault of your own, such as flight or transfer cancellations, or something else disrupting your travel by your tour operator, or hotel and out of your control.
To help you prepare, Charlene Calwell, The Travel Agent Next Door, will provide a comprehensive travel checklist, including a list of "how to's", and document requirements via email included in your invoice. If required, I will happily make myself available for a phone call to discuss all your travel needs prior to your departure.Â
