The Academy 2019/2020 Terms & Conditions
 
PAYMENT TERMS
Payment must be received prior to the commencement of The Academy courses. Termly payments are due when a booking is made. The Annual Membership fee (non-refundable) must be paid in full when commencing any activity at The Academy and is valid for the academic year.
BOOKINGS AND PAYMENT CONDITIONS
CAMPS & COURSES
1. The Academy has a strict NO refund policy except for exceptional cases which will be handled on an individual basis.
2. Illness & Injury - If your child is unable to attend a camp or course due to illness or injury it must be validated by a doctor’s note, and you will be offered make-up sessions on dates set by The Academy for the lesson(s) missed. If no doctor’s note can be given then we are unable to provide make-up sessions.
3. Any cancellations on the day due to illness or injury will not result in a refund or invitation to a make-up session.
4. Responsibility for all booking details lies with you, when making the initial booking. Where possible we will make changes to your dates, subject to availability.
WHAT HAPPENS IN EXTREME WEATHER?
All camps and courses will negotiate the barrier of weather. In case of extreme weather, sessions will be cancelled and you will be informed with due notice. In this situation make-up classes will be offered.
PHOTOGRAPHY
In accordance with our Child Protection Policy we will not permit photographs or video of young people to be taken without the consent of the parents/carers of the child.
When booking a course or camp you will be asked to register with us. During this process you will have the option to give photographic consent. The Academy would like to use these images for marketing, promotional and training purposes. We ensure any images will be used solely for the purposes they are intended.

MEDICAL INFORMATION
It is essential that parents/carers inform us of any activities a child may not be able to take part in. Any medical, physical or concerns should be drawn to The Academy's attention during course registration. All information given will be treated in confidence.
Any medication such as inhalers should be handed to The Academy before the course commences.
CHILD PROTECTION
The Academy has a duty to respond if we suspect a child in our care may be suffering from abuse, or if a child makes a disclosure about abuse. In this event our coaches will follow The Academy Safeguarding Policy. Full details can be found on the Governance page of our website.
DISCIPLINARY PROCEDURES
Our experienced coaches know when a child's behaviour requires guidance. In some circumstances our disciplinary procedures will be brought into action to protect the safety and enjoyment of the other children.
In an instance of unacceptable and disruptive behaviour, the participant will be asked to not participate for a few minutes of reflective time before rejoining the group.
In cases of gross misbehaviour or if a participant behaves in a disruptive manner across multiple sessions and therefore breaches the agreed code of conduct, they will be removed from the course with no refund available.
The Academy has zero tolerance to Bullying.
LIABILITY
The Academy does not accept liability for personal injury or the death of any participant unless directly caused by the proven negligence of the company or its servants.
DISCOUNTS
Sibling discounts and/or multi-activity discounts are available and will be calculated on a case-by-case basis.
COMPLAINTS
The Academy is committed to ensuring your child has an exceptional experience!
If you are not satisfied with the service we provide, we want to know. If your child is still participating, we can almost always resolve any problem. If we hear of a problem after the course we will take great care to look into the matter, but are unable to provide compensation.
Please talk to The Academy Directors promptly if you have any concerns. Your complaint will be taken very seriously and dealt with swiftly.
DATA PROTECTION
It is your responsibility to ensure that you have the necessary permission to pass on the personal details of all the children for whom you are making a booking.
