AMP 2022 Annual Meeting - Ancillary & Satellite Meeting Space Request Form
Please read below for information on space requests for Ancillary and Satellite events. Four types of meeting spaces are available: General, Exhibit Hall, Reception, and Educational Events. Details about each type of meeting space including fees and deadlines are outlined below. Meeting spaces are assigned on a first-come, first-served basis.

AMP Ancillary Guidelines
One form per event must be submitted.
Exhibitors may host multiple events at one time, which will run concurrent with other hosted events. We do not offer exclusive times to host events.
Space will be on a first come, first served basis. This does not apply to those submitting applications for     offsite venues, such as restaurants and non-official AMP venues and hotels).
Please notify AMP immediately of any cancellations or changes to your event.
Event space is available for various durations. See event types for duration information.

Breach of guidelines may result in the following:
Restricted from participating as an exhibitor at future AMP events.
Cancellation of ancillary or satellite event.
Exhibiting companies may be penalized by a loss in priority points.

Prohibited Events
  • Competing Educational Events, which include providing molecular diagnostics topics and/or content that compete with the scientific program of the AMP Annual Meeting & Expo,
  • Commercial Event (similar to corporate workshop/innovation spotlight).
Cancellation Policy
Please notify AMP immediately of any cancellations, including those of non-official AMP venues and hotels.
Events cancelled prior to October 5th will be subject to a 50% refund. All other cancellations will forfeit any fees paid to AMP associated with the event.

If you are interested promoting your event through official AMP program materials, please contact exhibits@amp.org for more information on qualifying events and pricing.

Application Process
All organizations, exhibitors, corporate supporters or attendees that wish to hold functions of any size or nature in any of the designated AMP 2022 hotels, or location (including restaurants, other non-hotel venues, or a non-official AMP Hotel during AMP 2022, should complete an ancillary & satellite event request form).

Applications must be submitted for events being held on November 1st  – 6th.

All approvals will be provided via email and will include a confirmation that will include the meeting room number and venue contact info, as well as contacts for food and beverage and A/V needs.

Note: Space assignments will not be available until the Annual Meeting & Expo programming is finalized. Notifications of space assignments, if applicable, will be sent no later than  September 30th.

Blackout Dates
Times are subject to change after scientific program for the AMP Annual Meeting & Expo and associated events are finalized. Exceptions include small general meetings (see general meetings section for qualifying events).

Fees & Payments
Invoices will be sent via email to all event hosts and must be paid in full to confirm the event space. Payment methods include payment by credit card, check or wire transfer.

Meeting Space on the Expo Hall
A limited number of small rooms on the Exhibit Hall will be available for exhibitors to have individual client meetings. These rooms will be available to rent in duration of show, or in one day increments. Each room will be set with a table and six (6) chairs. Additional features, such as audio visual/internet and keyed access are available at the expense of the exhibiting company.

Food & Beverage is permitted by approval of AMP Show Management only, and may include a cleaning fee where applicable.

10ft. x 10ft. MEETING SPACE RENTAL FEE:$2,800 per accepted request
10ft. x 20ft. MEETING SPACE RENTAL FEE: $5000 per accepted request

Note: These are available for purchase in the Expo Harvester on a first come, first serve basis. Blackout times for Meeting space in the Expo Hall request do not apply.

General Meeting Space
Internal Sales meeting, staff meeting, committee or working group, customer demo(s), etc... max of five registered meeting attendees. May not include more than five registered meeting attendees. For more than five registered meeting attendees, refer to "Reception Space" details, below.
Please note: blackout times do not apply to general meeting space request.

Offsite Event
For non-hotel venues, there will be no fees from AMP Show Management and you may contact the venue directly – however, you must first receive approval from AMP Show Management and adhere to guidelines regarding AMP branding restrictions.

Offsite Events include:

  • Restaurants
  • non-hotel venues
  • non-official AMP Hotel during AMP 2022

RULES AND REGULATIONS
1. All exhibitor hosted events must be approved in advance by AMP Show Management. AMP reserves the right to withhold approval of any event.

2. Companies requesting space from AMP must be contracted to exhibit at the AMP 2022 Annual Meeting & Expo. With the rare exception of some educational events, meeting space will ONLY be released to AMP exhibiting companies.

3. AMP will not assist with the planning, funding, or management of exhibitor meetings. Hosts are responsible for all arrangements and costs associated with their events which may include audiovisual equipment, food and beverages.

4. Space may be released by AMP at the convention center and/or contracted hotel(s) on a first-come, first-served basis where AMP Corporate Partners receive priority placement.

5. An administrative fee may be charged for any event that is approved by AMP. Refer to fee schedule, above.

6. Administrative fee will be collected upon approval of event by AMP. All fees are non-refundable.

7. Cancellation of Exhibit Booth space will result in automatic cancellation of exhibitor meeting space.

8. The purpose of functions held in any space released or approved by AMP shall be limited to the following, each with its own unique guidelines, fees, and restrictions:
General Meeting Space:
Product demo or sales pitch to five or fewer registered meeting attendees
Exhibitor (sales) staff meetings
Committee or Working Group meeting
Exhibit Hall Meeting Space:
Individual client meetings
Reception Space:
Customer appreciation
Networking reception
Event for all meeting attendees
Educational Event Space
Any gathering that is educational in nature and runs concurrent with AMP official programming

9. Should the purpose for exhibitor meeting space be misrepresented to AMP Show Management, the host organization will be penalized by AMP, including being suspended from participation (including exhibiting) in future AMP events.

10. Events with more than five registered AMP meeting attendees may be held ONLY during the following dates and times:
November 1, 2022          anytime.
November 2, 2022          6:30pm - midnight
November 3-5, 2022       5:00am - 6:30am
November 3, 2022          7:30pm - midnight
November 4, 2022          7:00pm - midnight
November 5, 2022          5:30pm - midnight
November 6, 2022          7:00am - midnight


11. To be listed in the AMP 2022 Meeting Program and on the AMP Website, the approved event must be available to all AMP Annual Meeting attendees. In addition, all details including the title, time, date, and location must be provided to AMP no later than September 30, 2022, and is subject to a fee and approval by AMP.

12. One sign can be displayed immediately outside the meeting room on the day of the event.  Signs, brochures, “human directionals,” and other advertising materials are not permitted in any of the public areas of the convention center or hotels. Any such signage will be removed. Violation of this regulation will result in immediate cancellation of the event, eviction from the exhibit hall, and suspension from participating in the following year’s Annual Meeting.

13. AMP in no way endorses or supports the event, organizer, products, or services mentioned in announcements, advertisements, on signage, or during the event.

14. Use of AMP logo is prohibited.

15. Meeting host companies agree to indemnify, protect, save and keep AMP forever harmless from any damage or charges or claims imposed due to the following acts or omissions by the meeting host company, its agents, employees, invitees, persons acting on its behalf, or authorized representatives at any time during the meeting in the assigned space and all other AMP meeting locations:
Negligent or intentional acts or omissions;
Violation of any person’s or entity’s property rights;
Violation of any law or ordinance; and
Use and occupancy of the exhibition or official meeting premises or any part thereof.

16. Submission of this request form constitutes understanding of and agreement to adhere to the above listed Rules & Regulations.

All of the above noted regulations apply. Additional rules and regulations to be determined upon approval of event by AMP.
