Position Title: Events Coordinator
Hours: 10 hr/wk
Compensation: Based on Experience.
SUMMARY
The Events Coordinator organizes, oversees and manages Care Fresno events for the greater purpose of fulfilling missional goals in neighborhood programs. In addition, this position helps further contacts and connections with local partnerships through social media and website design.
EVENTS
Organize, oversee and manage Care Fresno, Inc. events such as Parent Nights, Field Trips, Care Camp, Fall Ball, Post-Event Celebration parties.
Schedule representation for recruitment events for the purpose of connecting individuals to Care Fresno as volunteers, Residents, sponsors, partners, etc.
Assist in planning of Mission Care Retreats and celebrations as needed.
Run pre-event and post-event meetings with core staff. Post-event meetings to include thorough evaluation of the event.
Ensure proper recognition occurs for volunteers, sponsors, etc. who attend and/or assist with events.
Utilize graphic design platforms to develop/create designs for programs and events (marketing, recruitment, etc.)
Delegate a team properly and making sure everyone has what they need to do their job requires team management and leadership skills.
Responsibility of keeping event costs within the allocated budget. This will require a degree of financial skill as well as the ability to create accurate reports.
Logistics: Everything in an event, from the seating to the entertainment, must be set up in a practical and useful manner for the guests. To accomplish this, the Event Coordinator must possess a degree of skill in logistics to properly plan the details and anticipate potential problems that may arise.
Network with a wide variety of entities in the course of their job. Vendors and venues must be established, and an entire staff must be managed in order for an event to function properly. An Event Coordinator will need to have a general knowledge of what guests expect.
COMMUNICATION
Design and maintain social media accounts and posts
Utilize graphic design platforms to develop/create designs for communication purposes (i.e. website edits, media accounts, emails, etc.)
Ensure a consistent brand and message is being conveyed across communication venues.
Maintain the organization’s website with graphics and updates while ensuring a consistent message, color scheme, and design.
GENERAL
Send monthly news and support letter to a donor base of at least 30 names for the purpose of raising $500 monthly in Care Fresno general support. Maintain file of said letters and continue relationship (personalized thank you letters, coffee meetings, etc.) with personal donor base.
Professionally represent Care Fresno in the community.
Develop a knowledge management system (such as Google Drive and Asana) that ensures maximum sharing of information and learning throughout the organization.
Participate in performance evaluations.
Ability to attend some community events in the evenings and/or on the weekends.
Be available to assist in Mission Care trainings and events as needed.
QUALIFICATIONS
To perform this position successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
High-School Diploma and some college education.
Bachelor’s degree in a related field, or in progress preferred.
History of working with youth and/or urban ministries preferred.
Applicants must be at least 18 years of age and be a U.S. citizen or have a Permanent Resident status.
Possess a valid CA Driver’s License, insurance, and/or have reliable transportation.
Able to pass a fingerprinted background check.
Highly organized with a flexible approach to problem-solving.
A successful track record in setting priorities, a thorough understanding of project management and ability to meet deadlines and goals.
Understand and exemplify that goals of team take precedence over personal agenda.
Excellent communication, writing and editing skills; bilingual preferred but not required.
An ability to balance, negotiate, and work with a variety of internal and external stakeholders.
Computer and typing skills with proficiency in Microsoft Word, Excel and mail merge functions. Familiarity with Google features such as Gmail, Drive, and Calendar preferred.
