GDX 2024: Volunteer Sign-Up Form
Thank you for your interest in volunteering for the Game Discovery Exhibition! We are elated that you would like to contribute to our ecosystem.From the bottoms of our hearts, we thank you for your desire to make Alberta's games industry better! 💜

This year we have multiple volunteer opportunities:
  • pre-event planning roles,
  • supervisory roles,
  • conference volunteer roles,
  • and exhibition volunteer roles.
Note that supervisory roles will come with a small honorarium.

This application form has two due dates:
  • If you wish to be considered for Pre-Event and Supervisory Roles, complete your application by April 8, 2024.
  • If you wish to be considered for Conference and Exhibition Volunteer Roles, complete your application by May 30, 2024.
All completed application forms will be emailed to your specified email address. Applications do not guarantee a volunteer position.

The Details
We are looking for volunteers from now until July 28, 2024. These positions include the planning prior to GDX, during the GDX conference (July 17-18, 2024), and during the GDX exhibition (July 19-28, 2024)
  • Part 1: Pre-Event Planning & Supervisory Roles (~2-4 months)
    Pre-event planning involves a variety of tasks such as attending planning meetings, conference content committees, marketing outreach, communications (vendors, exhibitors), street team, logistics, pre-event transportation, and game testing. Supervisory roles will also be required to recruit, train, and lead a team of volunteers.

  • Part 2: Conference (July 17-18) @ Post-Secondary Institution prior to K-Days
    The Conference will consist of professional development through: speakers, panels, mentorship, summits, esports, and indie/community-relevant presentations as well as our newest summit, the Indigeneity and Diaspora in Games Summit. We will need volunteers who can help way-find, provide hospitality, front-of-house, act as technicians, and do setup/takedown.

  • Part 3: Exhibition (July 19-28) @ Edmonton EXPO Centre during K-Days
    The Exhibition will showcase indie studios from within and outside Alberta, and will also contain esports, board games, and more fun games culture content. Free play video games and esports will be another focus, where attendees can sign up for game tournaments, and more. At the exhibition, you may be asked to cover-off for developers. You will make sure that people are properly set up at the console stations, and that rentals of controllers and equipment goes smoothly. You will receive an orientation when you arrive for your shift, and be given a volunteer information packet with booth-by-booth information, and a script that will help you cover-off. These positions will be run through Explore Edmonton's volunteer program which will also provide you with a meal voucher to use during your shift. Please note that parking is not covered and not guaranteed.
Volunteer Requirements
  • You must be 18-years or older to volunteer during Part 1: Pre-Planning and Part 2: Conference.
  • You may volunteer as a minor (12-17) at Part 3: Exhibition, with caveats. Please see Explore Edmonton's volunteer page for more information on volunteering as a minor.

The Perks
As our thanks for volunteering with us, we want to make sure that you are well taken care of. Here are the volunteer perks:

Part 1: Pre-Event Planning & Supervisory Roles (~2-4 months)
If you volunteer for a pre-event planning role, you will receive the following:
  • limited edition GDX 2024 t-shirt,
  • complementary conference pass.
If you volunteer as a supervisor, you will receive:
  • $100 honorarium,
  • volunteer t-shirt,
  • lanyard and nametag,
  • food and snacks throughout the day to sustain you, and a
  • complementary conference pass.
Part 2: Conference (July 16-18)
If you volunteer for at least one eight-hour day-shift, you will receive the following:
  • volunteer t-shirt,
  • lanyard and nametag,
  • food and snacks throughout the day to sustain you, and a
  • complementary conference pass.
We will be looking into split shifts for this year's conference if we receive enough volunteer applications.

Part 3: Exhibition (July 19-28)
If you volunteer for shifts during the exhibition you will receive the following:
Breaks
We want to make sure that you have breaks as well, and will be scheduling breaks accordingly.

Volunteer Appreciation Event
All volunteers will be invited to a volunteer recognition event later in the year!
The Process
Before you apply to volunteer at GDX, decide if you want to volunteer for any of the following:
  • Part 1: Pre-Event Planning
  • Part 2: Conference
  • Part 3: Exhibition
You may volunteer for any combination of the three opportunities. However, if you are interested in signing up for the exhibition as a volunteer, you will also have to go through additional training through Explore Edmonton due to the event's involvement with K-Days.

Pre-Event Planning
If you are applying to volunteer for pre-event planning only, do the following:
  1. Complete Part 1: Pre-Event Planning application form by or before April 8, 2024.
  2. If accepted, as a Part 1 volunteer, you will receive an invitation to attend the virtual volunteer meeting and access to the GDX planning channels on Discord.
  3. If you are interested in a supervisor position, please indicate that on your form.
Conference
If you are applying to volunteer at the conference only, do the following:
  1. Complete this Part 2: Conference application form by or before May 30, 2024.
  2. If accepted as a Part 2: Conference volunteer, you will receive an invitation to attend the virtual volunteer training event prior to the start of the conference.
Exhibition
If you are applying to volunteer at the exhibition only, do the following:
  1. Follow the prompts in this application and make your selection to apply for volunteering at Part 3: Exhibition.
  2. If accepted as a Part 3: Exhibition volunteer, schedule a volunteer training session and police check through Explore Edmonton when they become available.
  3. If the 2024 Volunteer Application for K-Days is not available via Explore Edmonton, we will email you when Explore Edmonton's volunteer opportunities become available.
Pre-Event Planning, Conference, & Exhibition
If you are applying to volunteer at all of GDX, do the following:
  1. Complete all sections of this application form by or before April 8, 2024.
  2. Follow the prompts in this application and make your selection to apply for all activities for GDX.
  3. Indicate if you are interested in a supervisor position for GDX.
  4. If the 2024 Volunteer Application for K-Days is not available via Explore Edmonton, we will email you when Explore Edmonton's volunteer opportunities become available.
Conference & Exhibition
If you are applying to volunteer at both Part 2: Conference and Part 3: Exhibition only, do the following:
  1. Complete Part 2 and Part 3 of this application form by or before May 30, 2024.
  2. Follow the prompts in this application and make your selection to apply for Conference and Exhibition activities at GDX.
  3. If the 2024 Volunteer Application for K-Days is not available via Explore Edmonton, we will email you when Explore Edmonton's volunteer opportunities become available.
Please Note: You must sign up through Explore Edmonton's volunteer system, to volunteer at Part 3: Exhibition. The Explore Edmonton form will be sent to your email when it becomes available.
