Fern Fest 2022 Crafts Vendor Information
Fern Fest is excited to have a crafts area that offers a diverse collection of handmade items and quality services (i.e. massage, readings etc.) from women around the country. With consideration of attendee capacity this year we have limited the number of craft vendors to 10 and service vendors to 5. We will base our decisions on the variety of goods, services, price points and representation of the diverse communities attending the festival.
 
Please read all vendor information below before applying.

The total capacity for Fern Fest 2022 is 400.

Deadlines:

The application deadline has been extended until June 15th, 2022. If you are accepted, contracts will be sent out immediately following. You will have one month from that date to complete the contract and send it back with ticket(s) paid in full to secure your spot. If you choose to buy one extra ticket for a helper (see helper info below), that ticket must be paid in full at the same time.

Pricing:

There is no fee to be a craftsperson but vendors are required to purchase one full price admission ticket (Sliding Scale $375-$475) for the 6 day/5 night festival. If your application is accepted, tickets must be purchased one month from the date the contract is sent. All vendors will retain income from sales and are responsible for their own tax reporting.

Cancellation and Refunds:

While refunds are not guaranteed, should unforeseen circumstances arise after contracts are signed and fees are paid, we will do our best to accommodate changes depending on time allowed to find another vendor.

Booth requirements:

Each vendor spot is a 10x10. All vendors must have a 10x10 pop up canopy tent that includes 4 attachable walls that must be up after you close for the evening. Fern Fest will not provide tents or any displays so you must plan to bring everything you will need. All display equipment and goods for sale should remain within this footprint. All booths must be appropriately staked using heavy duty stakes/straps or weighted with 10lb weights on each leg (40lbs total) and please plan to bring tarps and whatever else you may need to protect your goods during any rain or stormy weather.

Camping:

There will be no camping directly behind or near the crafts area. There will however be a little space behind each booth for you to have blanket or a couple chairs out while you are open. We ask that you keep your area as contained as possible and once you close up for the night, everything must be inside of your booth with all the sides closed.

Electricity/WIFI:

There will not be any electricity provided and no generators are allowed. There is no WIFI and we have very limited cell service. As of last year, Verizon does not get a signal and AT&T is very spotty. It’s best to assume you will not have any service and plan to take credit cards while offline to process later. If you plan to stay open into the evening hours, battery operated lights will work well and portable phone charger packs are great for keeping your phone charged.

Helpers:
 
We ask that you remain present in your booth during the crafts hours, but you are you free to step away for food or restroom breaks as needed. We cannot offer any accommodations for helpers because of our limited capacity, but if you feel that you will need someone, please tell us on your application and we will place one ‘will buy’ hold on a ticket since we do anticipate this festival selling out quickly.

Hours/Location:

Crafts will open on Wednesday at 2pm and close that evening at 6pm. Thursday, Friday and Saturday the hours will be from 11am-6pm. These are the hours that we require everyone to be open but you may choose to remain open after 6pm so long as you are closed by 10pm and have battery operated lights as it gets dark.

Crafts will be located in the “downtown” area of the festival. It will be close to the stage, community tent, food trucks and all the activity. It will be wheelchair accessible.

Security:

Because of the small capacity this year and the nature of our community, we will not have any security overnight for the crafts area. It will be a highly visible area and don’t anticipate having any problems. With that said, we want each vendor to do what feels comfortable to you. All of the tents are required to have 4 walls that are closed up and secured each evening. Again, we feel trusting of our community and certainly hope there will be no issues, but we cannot make guarantees or be held responsible for any loss. Load In:

Craft Vendors must arrive on Tuesday, August 9th, anytime between 11am (when the gates open) to 6pm. You will have all day Tuesday and Wednesday morning to set up, but we ask that you are completely ready to be open by 2pm on Wednesday when crafts officially opens. You will be issued a vehicle pass to unload (as quickly as you can) and then you will return your vehicle to parking. There will be shuttles running from parking to get you back for setup.

Load out:

Craft vendors must load out on Sunday, August 14th, 2022. Everyone must be off the land by 2pm, no exceptions. You will get a vehicle pass just as you did for load in to drive down to the craft area to load out. Again, we ask that you do this quickly so we can make sure load out goes smoothly for everyone.
