● If this rental is to host a class, training program or any other session that is similar to a college offering, renter must include this disclaimer in all promotional materials: This is not a Rowan College at Burlington County program.
● A completed Facilities Reservation Form, signed quote and Hold Harmless Agreement are to be submitted to Rowan College at Burlington County, herein after referred to as the “College” or “RCBC,” no less than five calendar days from receipt date.
● The College requires organizations sponsoring events on the campus to provide proof of General Public Liability Insurance for limits not less than $1,000,000 single occurrence and $2,000,000 property damage and bodily injury liability for each day. A copy of this insurance is required prior to your facility usage. Your certificate of liability must have the date of your event, the location where the event will take place and Rowan College at Burlington County’s name as the additional insured and the certificate holder. This information must be entered in the Description of Operations/Location section, and in the certificate holder section at the
bottom of your certificate of liability.
● Non-profit organizations will need to provide proof of their IRS tax status.
● Please do not advertise the event will be held at the College unless you have received the confirmation via Invoice.
● Some events may require a Fire Permit.
● The College reserves the right to refuse service to any party.
● Use of the College logo or any version of the name Rowan College at Burlington County in any advertising or literature is prohibited, other than to identify the College as the site of your event, without written approval by the College.
● The College will not be financially or in any other respect liable for the execution of this right.

Inappropriate Activities
● Any event for commercial purposes involving the direct sale of goods or services.
● Any event that competes with College-sponsored programs.
● Any event that is deemed by the College to interfere with College operations. Primary consideration for use of the College facilities will be given to College-related activities.
● Any event that places an excessive load on the College’s resources, including manpower.
● Any event that creates a hazard to our students, faculty, staff or visitors.
● The user and their agents and guests are expected to be respectful to all College students, faculty, staff and other guests.
● Disruptive or disrespectful behavior can be cause for removal of individuals from College property, and/or ending an event, clearing and closing the facility.

Use of Space
● The activities of the event shall be restricted to the areas indicated on the Event Request
● (Rental Reservation Form) & Agreement (quote and invoice) plus reasonable access to entrances, exits and restroom facilities. Occupants can be held responsible for actions of their agents or attendees both within and outside of the event’s assigned area(s).
● If the College is closed for any emergency, all scheduled use of campus facilities shall be automatically canceled. College closings are broadcast through the local media. Rowan College at Burlington County shall not be held liable for any loss or inconvenience arising from the cancellation or early termination of an event due to an emergency closing of the campus.

Use of Equipment
● Moving, removing or any rearranging of any furniture, equipment or other RCBC property for your event must be approved by the College. For safety and security reasons this generally means that all such actions must be done by our facilities staff and additional charges may be applicable.
● All equipment used shall be returned to its original state.
● Except what is specifically approved in the Event Request & Agreement the college does not provide any supplies or services for the convenience of the users. Any last-minute supplies or services are subject to additional Custodial fees.
● Damages include, but are not limited to damage of: property, theft, loss of equipment or supplies, and injury to College students and personnel.

Smoking Policy
● Smoking on College property by any person, at any time, anywhere, is strictly prohibited. College property includes all grounds, playing fields, walkways, roadways, parking lots, in and around the perimeter of any building.
● The sale or distribution of tobacco products and the sponsorship of College events, activities, or media by tobacco-related products likewise are prohibited.
● All visitors are expected to also respect the smoking policies of each of our neighbors.

Cancellation Policy
● Cancellations must be in writing; no verbal cancellations will be accepted.
● Invoices must be paid in full within ten calendar days of receipt date. Failure to pay in ten calendar days will result in forfeiture of rental reservation.
