This form serves as the official application submission for individuals wishing to stand for election to the 2023-2024 academic year beginning in the fall of 2023. Please complete the personal information below and select any officer position for which you might be willing to serve (feel free to select multiple positions however note that you will only be able to occupy one position - not all for which you might apply).

Officer Position Descriptions
A. President: The President has broad oversight responsibilities for the Chapter and its activities including, representing the Chapter at required events and oversight of the Chapter’s many activities. In conjunction with the Chapter’s faculty or staff advisor and Event Director, the President will establish the academic year’s calendar of events in the fall of the year and be responsible for monthly Chapter Executive Board meetings, including the creation of the meeting agendas. The President will also preside over those meetings.  

B. Vice President: The Vice President will have specific oversight responsibilities for the organizations’ activities and will manage the activities of the diversity liaison and recruiting and outreach coordinators. The Vice President will also assist the President in any of the President’s duties as needed.

C.  Recruiting Coordinator: The Recruiting Coordinator is responsible for all membership recruiting activities and the maintenance of associated records. With respect to these latter responsibilities, the Recruiting Coordinator will work closely with the Chapter’s Secretary and Treasurer. The Recruiting Coordinator’s activities are subject to the oversight of the Vice President.  

D. Outreach Coordinator: In consultation with the Vice President, the Outreach Coordinator will seek out and develop opportunities for the Chapter to participate positively in the local community. Such activities might include for example, promotion and participation in food drives, community clean-up efforts, etc. The Outreach Coordinator’s activities are subject to the oversight of the Vice President.

E. Event Director: The Event Director is in charge of organizing any non-recruiting or outreach events that the Chapter sponsors. This would include, but not limited to, events where alumni are brought back to campus as part of GIS activities, the annual homecoming football game tailgate, coordinating with the RMI career fair, etc. The Event Director will also maintain the calendar of all the chapter’s activities, approve dates for events requested by other officers, and reserve rooms and spaces for events and activities held on campus. The Event Director will work closely with the President and Vice President in planning and executing these duties.

F. Secretary: The Secretary shall be responsible for recording the minutes of all Executive Board meetings, auditing memberships through the Grand Chapter, submitting monthly activity reports to the Grand Chapter, maintaining all pertinent legal documents, and generally performing other duties as directed by the President.

G. Treasurer: The Treasurer is responsible for all financial-related activities of the Chapter, including the collection of dues, making deposits, and writing receipts. The Treasurer will work closely with the Secretary to ensure membership dues records are current and accurate. As directed by the Vice President, the Treasurer will ensure that vendors and suppliers of services are appropriately compensated in a timely manner. Additionally, the Treasurer will generate periodic summary financial statements for the Chapter that identify revenues, e.g., donations, dues, etc., and expenses. The Treasurer is responsible for filing all mandatory financial reports with GIS National.

H. Communications Director:  The Communications Director is responsible for the organization’s communication with both external and internal stakeholders, serving as the organization’s director of public relations. The Communications Director will have oversight of the activities of both the internal and external liaison officers. More specifically, the Communications Director will direct the organization’s interaction with all parties, both internal and external. This will include oversight responsibilities for newsletters, public relations, and online Instagram media presence. The Communications Director should serve as a repository for all media related artifacts including photos, public content associated with the chapter’s activities, etc. The Communications Director will be in charge of updating the organization’s website and the creation and distribution of flyers advertising the organization.

I. Internal Liaison Coordinator: Responsible for communication and interaction with organization members, primarily student GIS members, and other parties affiliated with the university and/or the national GIS organization. These responsibilities include the creation and regular dissemination of newsletter content. The officer’s activities and efforts will be coordinated and overseen by the Communications Director.

J. External Liaison Coordinator: Responsible for communication and interaction with entities outside the Beta Zeta chapter, including (but not limited to) alumni, public media, industry, other departments within UNT, etc. and will update the Instagram page as directed. The officer’s activities and efforts will be coordinated and overseen by the Communications Director.

K. Diversity Liaison Coordinator: The Diversity Liaison Coordinator is responsible for supporting diversity and inclusion initiatives related to member experience with the chapter. The Diversity Liaison will work with other officers and leadership to develop initiatives that further the chapter’s diverse, inclusive, and welcoming environment for students. The Diversity Liaison will also collaborate with other student life units and organizations focused on diversity and inclusion to advance work in the university and community.

L. Actuarial Liaison: The Actuarial Liaison is responsible for collaborating and maintaining a positive relationship with the actuarial students.
