Food Vendor Set Up will begin at 9:00AM, Sunday, April 2nd and must be done and ready by 10:30AM. The Event concludes at 2:30PM and all vendors are to refrain from soliciting patronage any later than 2:30PM so the PCCC and assistants can begin their post-event duties. Staff of the PCCC has the exclusive right to remove any vendor from the event site who does not comply with established guidelines. Only vendors approved by the PCCC are allowed to sell during the festival.

Please submit this form by March 21st at 5 p.m. if you would like to participate. Only those who will be able to participate at the event will receive a confirmation email. If you do not receive a confirmation email, then you will not be participating this year, but we hope you'll try again next year.

The undersigned agrees to participate in this event sponsored by the Palm City Chamber of Commerce and releases the Palm City Chamber, Martin County Board of County Commissioners, Martin County Parks & Recreation, Martin County Fairgrounds, and all co-sponsors and assignees from any liability they may incur with participation.  We understand there are no refunds or cancellations. All applications are reviewed to avoid duplication of services and products. Acceptance requires authorized signatures below, acknowledgment of rules and payment in full before set-up. A Certificate of Liability Insurance naming the Palm City Chamber of Commerce and Martin County Fairgrounds is required for food vendors. The certificate must be received by March 22, 2023.

I hereby authorize the Palm City Chamber of Commerce to publish photographs taken of me, and/or the minor child or children, and our names and likenesses, for use in print, online and video-based marketing materials, as well as other Company publications.

I hereby release and hold harmless the Palm City Chamber of Commerce from any reasonable expectation of privacy or confidentiality for myself and for the minor child or children, and that I have full authority to consent and authorize the Palm City Chamber of Commerce to use their likenesses and names.

I further acknowledge that my participation is voluntary and that neither I nor the minor children will receive financial compensation of any type associated with the taking or publication of these photographs or participation in Company marketing materials or other Company publications. I acknowledge and agree that publication of said photos confers no rights of ownership or royalties whatsoever.

I hereby release the Palm City Chamber of Commerce, its contractors, its employees, and any third parties involved in the creation or publication of Company publications, from liability for any claims by me or any third party in connection with my participation or the participation of the minor children.

The following additional information should be adhered to:


1. All participants must remain at their booths until 2:30PM at which time break-down can begin.
2. All fees paid for vendor reservations are not with the stipulation of inclement weather.  Unless otherwise deemed necessary by the PCCC, no refunds will be given to vendors or other participants due to limitations because of weather.
3. PCCC reserves the exclusive right to assign vendors to specific locations as they deem necessary. Once a vendor location is assigned the location of a vendor will not be changed unless extreme circumstances warrant for them to do so.
4. If a vendor wishes to bring a tent or any other apparatus to assist in convenience or patron enhancement the equipment must fit in the vendor’s space; i.e., 10’ x 10’ - IF IT CAN NOT FIT INTO THE ASSIGNED SPACE, IT IS NOT ALLOWED. TENTS MUST BE SECURED DOWN.
5. Vendors are responsible for the set-up and break down of their individual vendor area(s). The PCCC Board Members and/or volunteers are not responsible for assisting in these responsibilities.
6. Vendors needing electricity are responsible for providing their own generator power and use all-weather cords for connection.
7. Vendors are responsible for their own receptacles and/or plastic bags to dispose of trash.  Receptacles located throughout the event are not to be moved.
8. Personally owned vehicles will not be allowed in the event area at any time. Vehicles must not be parked in the vendor area after the setup time. Any violations of the above will be assessed a $25.00 fine plus towing expenses.
9. If a vendor is asked to vacate due to any violation of festival rules no fees or percentage of fees will be refunded.

ALL VENDOR APPLICATIONS, RULES, CERTIFICATE OF INSURANCE AND FEES MUST BE RECEIVED NO LATER THAN MARCH 22, 2023, NO EXCEPTIONS.

PALM CITY CHAMBER HAS THE RIGHT OF REFUSAL FOR ANY APPLICATIONS. THERE IS NO MONEY BACK / NO RAIN DATE.
