Raising a Concern

We use the following general process when resolving disputes. Please note we will not action any complaint unless it is in writing.

  1. Identify - A complaint is received by the O & M and this would be passed on to the president, Administrator and other executives as needed. The complaint must identify who is placing the complaint, who it is against and if known any policy that has been breached along with an explanation or evidence.
  2. Apply -  All relevant parties are notified of a complaint.
  3. Access - The administrator and president determines the issue and will ask all parties involved to supply any relevant information. O and M would also decide at this point if the complaint needs to be escalated to WPNSW and they would then take over the complaint at this point.
  4. Resolve - All information is considered, any extra information would also be sought if needed. Conduct a meeting between all parties involved if possible where an agreement/outcome would be reached through mediation/conciliation. If external mediation is required this cost is passed onto the members and or club involved.
  5. Close - A formal decision would be sent to all parties. Feedback on this process would also be welcomed so the O and M water polo association could refine this process. Please note that the time taken to resolve a dispute can vary, we are an association run by volunteers and this can impact response times.
