2020 ArSCA & ADE Counselor's Conference Exhibitor Form
The Arkansas School Counseling Association & Arkansas Department of Education School Counselors Summer Conference in Hot Springs, Arkansas, will be July 13 & 14, 2020.  We expect approximately 500 school counselors to attend.  

Exhibit Space Terms and Conditions
Hot Springs Convention Center, Horner Hall will be the heart for all major conference activities. The exhibit booths will be located in Grand Hall Lobby and the Plaza Lobby outside of Horner Hall. Horner Hall is the location of Registration, General Sessions, Silent Auction, Keynote Speakers and luncheons.

Exhibitor understands and agrees that the exhibit space will be assigned at the sole discretion of ArSCA. Priority space will be assigned on a first-come, first-paid, basis.  

A basic space includes: 8’ X 8’ space, 6’ table and 2 chairs, Pipe and Drape & 1 line sign, meal tickets for Monday lunch and Tuesday lunch.  An electrical outlet may be added for an additional fee.  Please indicate if electricity is needed at time of order.  
Exhibitor must provide own equipment and any electrical cords.  Please indicate on exhibit application form if you require electrical outlet.   A basic exhibit space is $250.  A basic exhibit space with electric drop is $300.

A person or organization may wish to provide a monetary donation to sponsor our conference.  Sponsorship descriptions are below.  Sponsorship or monetary donation option is included in the application form.

PLATINUM SPONSOR $2000

Exhibit set-up: Sunday, July 12, 2020 from 2:00-5:30 p.m. in Hot Springs Convention Center, Grand Hall Lobby or Plaza Lobby
Exhibit Hours: Monday, July 13, 2020,   7:30 a.m. – 6:00 p.m.
            Tuesday, July 14, 2020,      8:00 a.m. – 6:00 p.m.
            **Exhibits/Vendors will be closed during Keynote Sessions.

Exhibit break down:  Tuesday, July 14, 2020   4:00 p.m. – 6:30 p.m.
Exhibits will be closed Wednesday, July 15, 2020.

Exhibitor assumes entire responsibility and hereby agrees to protect, indemnify, defend, and hold harmless ArSCA, ADE & Hot Springs Convention Center, and their respective employees and agents against all claims, losses, and damages to persons or property, governmental charges or fines, and attorney fees arising out of, or caused by exhibitor’s installation, removal, maintenance, occupancy, or use of the exhibit area or a part thereof.

Exhibitor acknowledges that ArSCA, ADE and Hot Springs Convention Center do not maintain insurance covering exhibitor’s property and that it is the sole responsibility of the exhibitor to obtain insurance covering such losses.  

Exhibitor is responsible for reporting and payment of any sales tax from merchandise.  

Exhibitor must register for the Conference in order to attend break-out sessions.

Submit your application before the early bird DEADLINE:  Friday, June 12, 2020 to ensure your exhibitor and/or sponsorship information is included in the conference program.  

Payment must accompany this application unless submitting a purchase order or other arrangements have been made. Checks should be made payable to the Arkansas School Counselor Association.    Credit card transactions will be completed onsite.  Payment arrangements and/or confirmation must be received before Vendor is allowed to set up.  

Vendors will be assigned available space on a first come, first paid basis.   Early bird deadline is June 12, 2020.  Exhibit Registration ends June 22. 2020.
