Langtons Gardens Fairs- stall application

Thank you for your interest in taking part in our Fairs!

Venue:  This is an outdoor event in a public garden, Langtons Gardens and Fielders Field is located on Billet Lane, Hornchurch, RM11 1XJ. The park is a short walk away from the Hornchurch Town centre.

Please be aware that your details will be kept securely by the Friends of Langtons Estate. Your information will be shared with the organisers of fairs and events at Langtons Gardens and Fielders Field and the surrounding area, as listed above. Please contact the organisers if you no longer wish them to hold your information.

To trade here, you will need:

  1. Public liability insurance cover for your stall.
  2. A risk assessment for your stall 
  3. A working email address for us to send you our safety information.
  4. If you are selling or serving food it must must comply with food law and be safe to eat, and have clear labelling including food allergens.
  5. If you are using naked flames or sources of ignition you must bring your own fire extinguisher or fire blanket, and to be situated away from garages or where fuel may be stored.
  6. If you are bringing marquees also bring appropriate weights- tents cannot be pegged in the courtyard
  7. If you are using inflatables, or selling or serving food on a regular and organised basis, or any other licensed activity: you must provide health and safety certification and/or any appropriate licence.
  8. If selling alcohol: Licencing and a Temporary Event Notice (TEN*) completed one month before the event. (please don’t apply for this until spaces are confirmed) for your stall only. https://www.havering.gov.uk/downloads/file/1033/temporary_event_notice_applicationpdf

Please note: All outdoor activities are subject to the weather, staff availability and national restrictions, extra precautions, or cancellation without notice may be required. No public parking is available on site. Pay and go car parks are available across the road.  

More detailed information and terms and conditions:
  • Please help organisers in the event set up and break down: These events are run for the benefit of the local community by volunteers and charitable organisations, we welcome voluntary assistance in set up and break down.
  • No power points: No outdoor access to electricity - please bring quiet generators if you need it.
  • Facilities: There are public toilets and a tea room on site.
  • Pitches:  Pitches are a standard 3x3m. If you bring a van you will need to be allotted a double 6x6m pitch. Any spaces are subject to the organisers terms and conditions and the organisers have final say.   The size and location of pitches and tables depend on the organisers, and they will let you know about them and any relevant fees, closer to the time. 
  • Marquees: You are welcome to bring gazebos or trailers etc. Gazebos would need to be weighted, they cannot be pegged into the ground in the courtyard. They must not be erected in winds above 15-30mph, and must be regularly checked, especially for rain puddling. 
  • Tables:  Space for 2 small-medium sized tables (1 to 1.5m long) and 2 chairs per 3x3m pitch, max.  If you are not bringing your own table, the organiser will confirm the table size.
  • Parking: Please note you will not be able to park directly by your pitch. We recommend you bring a trolley to transport items from your car to the pitch. Parking spaces are first come first served, staff have priority, and if no spaces are left, there is public pay and go car park available across the road.
  • Please be aware that fairs are subject to the weather, staff availability, and local or national restrictions. Extra precautions may be required, including: tickets, last minute alterations, or cancellation without prior notice. In the event of bad weather the event will be cancelled. Please check the weather in advance. The organisers have final say. The organisers do not offer to cover business or personal expenses in the event of a cancellation. Pitch fees and refunds are handled by the organisers according to their terms.  Follow latest guidelines Re: COVID-19; give space to each other; use hand sanitiser, and clean hands frequently. Do not attend if you or a member of your household have symptoms of COVID-19. 
  • Public Liability insurance: can cover compensation payments and legal costs if a member of the public (maybe a customer, a supplier, or a passer-by) sues your business because they’ve been injured by your stall or product, or their property has been damaged. You must have your own Public Liability Insurance. For those who do not have insurance, I recommend that you compare costs. You can also sometimes get it through membership with organisation's, market traders, and artist newsletters or groups, but we do not promote or endorse any particular method. 
  • Risk assessments are good practice for businesses of all size, and are required by law for employers.  It does not need to be over complicated. Check the latest advice here: www.hse.gov.uk Start by listing any hazard that could cause harm e.g; heavy boxes, cables on the floor, food handling, fuel, stall set up. Then list the risk of harm, e.g. trips and falls, fire, personal injury, property damage, food poisoning and allergic reaction. Finally, list the actions you will take to reduce the risk, e.g: keep entrances clear, have a fire extinguisher, have an escape plan, label food, or tidy away as you go. 
  • If your stall has naked flames or sources of ignition: e.g. hot food cookers or candle stalls, This will require you to be situated away from garages or any locations where food may be stored, and you need to bring your own fire extinguisher or fire blanket.
  • If you are selling or serving food as a commercial operation,  using inflatables, or any other licensed activity: you need Health and safety certification and/or any appropriate licence, and food allergens must be labelled.  If selling alcohol: Licencing and a Temporary Event Notice (TEN*) completed one month before the event.
