Thank you for your interest in volunteering for the Pop-Up Hanami! :D Please read through all of the following information before filling out the form.Â
All volunteer roles (except for the Setup/Takedown Crew) are expected to volunteer for the entire day on Saturday March 18th. There will be a mandatory orientation in the morning, after which you will break into your specific teams. Everyone will be helping with setup and cleanup regardless of role.Â
You are not expected to be on duty the entire time. There will be scheduled break times and refreshments provided. Volunteers will also receive additional raffle tickets for the event.
If you'd prefer to not volunteer for the whole day, then please only select Setup Crew or Takedown Crew, and none of the other roles.

â—½ Maintain the venue during the event
◽ Ensure that signage and decorations are in the correct place
◽ Check in with lost attendees and act as a guide
Setup Crew (8am - 1pm)
◽ Setting up chairs/tables/etc. according to the floorplan
◽ Ensuring all equipment is either properly stored in the storage rooms, or is set up in the event space
◽ Decorating the hall
Takedown Crew (7pm until late)
◽ Putting away tables/chairs/etc.
◽ Sweeping and cleaning up the event hallÂ
◽ Removing decorations
Security Team
If you would like to volunteer for the security team, please fill out this google form instead. You can apply for both General Volunteer and Security Team if you would like, but in the event you are selected, you will only be selected for one or the other.
We will contact you via Discord to confirm your volunteer role by the second week of March. Please set your Discord settings to
allow for direct messages from server members so that we can contact you. (For this to work you also need to be a member of the
UBCAni Discord Server). We will not send out messages to those who have not been selected, but we will have a notice in our newsletter, discord announcements, and on our website once all volunteers have been confirmed.
Additional info:
â—½ You will not need to buy a ticket if you are selected as volunteer. Please do not buy a ticket until you have confirmed whether or not you are volunteering, as we are unable to issue refunds on ticket sales.
