Including personal information is completely optional. Survey results will be shared with HPC leadership as well as various committees and administration if relevant. Havens Parent Club Board Roles

Executive Board: Voting...
President: Oversees all HPC activity.  Constant communication with the Principal.  Agrees to join the Site Rep committee the following year.

Vice President: Supports the President, but mainly agrees to take on the Presidency the following year.

Communications Chair: The hub for school-wide parent-facing communication.  Manages the Classroom parents and classroom parent communication.  Special projects as needed throughout the year.

Treasurer: Responsible for setting budget in conference with President, Vice President and principal; submitting annual tax returns, ensuring that HPC insurance is current; managing inflow and outflow of the HPC account, and answering any financial related questions as they regard HPC operations.

Bookkeeper: Treasurer support.

Secretary: Responsible for taking notes at all HPC meetings - once monthly, either Tuesdays at 7pm or Fridays at 8:45pm.  

Executive Support: Previous president, supporting current executive board.

Operating Board: Voting...
Affiliate Fundraising Committee: Work with existing partners and identify new partners to execute fundraising opportunities for Havens (See’s, Minted, Good Eggs, Zachary’s, etc.). Liaise with PEF for SCRIP program sales. Organize the summer read-a-thon and other programs with fundraising goals/benefits. Opportunity for growth and new programs. Manage school-wide communication for fundraising opportunities and events.  Participate in school events (host a table) when applicable. Provide updates in HPC meetings.  

After School Enrichment Committee: Havens After School Enrichment (ASE) Program provides engaging after school classes hosted on the Havens campus for Havens students TK-5.  It is also one of the largest fundraisers for our school, with a portion of each class cost  benefitting Havens.  The ASE committee is in charge of executing this program from start to finish.  They identify and communicate with vendors, set the schedule, manage school-wide communication and participant communication, and make all arrangements for hosting the program on site.  There are three primary ASE seasons each school year, and may be additional programming such as camps during conference week.  This role is one of the most labor intensive HPC roles, however, it is also one of the most fun programs to manage! This is a rolling committee, with a 2 year commitment.  2 co-chairs lead the program management, supported by 2 coordinators.  The coordinators then take on the co-chair positions the following year.

Library Committee:  Support the librarians at Havens with any needs/requests from the parent community.  Most importantly help plan and execute the 2 Havens Book Fairs (one in the fall, one in the spring).  This includes event execution and participation, recruiting volunteers, and managing school-wide communication.

Lunch Service Committee: Currently responsible for vendor communication, recruiting parent volunteers, school-wide communication, and processes for lunch execution.  Lunch service for next year will be different as PUSD will be participating in the CA Free Lunch program.  Details to follow.  The Lunch Service Committee will be responsible for absorbing information and direction from PUSD to manage food service on site at Havens, likely via a new vendor.  Recruiting parent volunteers will likely be the main responsibility for this team moving forward.

Merchandise Committee: Responsible for creating and ordering all school merchandise for the year.  Opportunity to select new products.  Fall 2021 Havens redesigned the school logo.  Historical information (product orders, sizing notes, sales data) will be provided.  Responsible for sales of the product.  This includes executing sales tables at school events and recruiting volunteers to help sell.  Responsible for school-wide communication about merch.  This role is the busiest in the first quarter of the school year.  Previously there has been 1 merch chair and a team of support people, however, a committee may work better.

Hospitality Committee: Mainly responsible for teacher appreciation events, including but not limited to: teacher appreciation week, holiday breakfasts, welcome back and end of year events.  This includes planning, executing and recruiting volunteers.  May include 1-2 parent-facing events, such as a table at the first day of school coffee.  Historical event list will be provided.  Opportunity to expand where appropriate.  This is another great one for parents whose kids like to get involved to decorate signs and posters.

Site Council Reps: Site Council is a group of teachers, classified employees, administrators, and parents who work with the Principal to develop, review, and evaluate the Single Plan for Student Achievement (SPSA), which is essentially the strategic plan for the Tri-School Elementary program. Recognizing the importance of our work together as a Tri-School Elementary Program, the Beach, Havens, and Wildwood Site Councils meet together to develop and implement these plans.  All meetings are open to the entire school community.  Havens has three parent reps who participate on site council.  These reps are also responsible for school-wide communication and site council updates at HPC meetings.

HDC President: President of the Havens Dads Club.  HDC has other leadership roles managed within their organization.  


School Support Committees: Non Voting...
Website: Update content on the HPC website at the beginning of the year.  Work with each individual committee to ensure website content is clear and up to date. Add to the website as needed including fundraising page, newest events, HPC meeting notes, HPC parent weekly messages, etc. throughout the year.

New Parent Welcome: Responsible for new family outreach and inclusion.  Works with Lori Morris on the buddy program.  

Family Caring: Manages support for families who experience hardship during the school year.  Also manages programs of support for other important players in our community, like crossing guards, nurses, etc.

Family Engagement: Responsible for creating opportunities for our Havens community to come together - including, but not limited to, Fallfest, Winterfest and Springfest.  Historically Fallfest is a blacktop evening welcome-back event with table representation from all school clubs. Winterfest is an Ellen Driscoll based event driven by service activities and crafts led by SERVES.  Springfest is a garden-based activity with crafts and school cleanup.

Parent Circles: Parent Circles are an opportunity for Havens parents to gather and discuss parenting issues relevant to our elementary-aged students within the restorative justice framework.  Meetings are entirely voluntary and are announced throughout the year via Havens Highlights communications.  The Parent Circle reps are responsible for defining circle topics and schedule, identifying and training parent circle leaders, and managing school-wide communication about the circle program.

DEI/Anti Racism: The Diversity, Equity and Inclusion (DEI) committee serves to ensure that all Havens families feel included, valued, and safe, and that families are supported in raising kids who are thoughtful, informed, and brave about race.  The committee does this through hosting workshops and events, providing educational content and resources and acting as a guiding voice in all our HPC work and school-wide communication.  This group also acts as the liaison between HPC and Piedmont Anti-Racism and Diversity Committee (PADC) as well as HPC and Piedmont Racial Equity Campaign (PREC).

SERVES: SERVES (Student Engagement, Responsibility and Volunteerism in our Elementary Schools) is a Tri-School parent-run organization serving Havens, Beach and Wildwood.  SERVES supports PUSD's goals including building community and cultivating a global citizenry by hosting community service-oriented events, drives and other activities.  This rep is an active member of SERVES who helps execute SERVES events/activities at Havens.  Also responsible for all SERVES communication to Havens.

Lost and Found: Manage the Havens Lost and Found.  Reps responsible for school-wide communication reminding parents to label clothes and providing details as to when/where/how to claim lost items.  This also includes clear-out days schedule, communication and execution, including donating items that are not claimed.

Physical Health: Work with the Havens office to plan the following programs:  Shoo the Flu (if applicable) and Lice Checks.  Liaise with the school nurses and health clerk as needed, including assisting with finding volunteers for Vision and Hearing Screenings.  Opportunity to create new programs if desired, such as a mask drive.  Contact for Piedmont-wide programs as necessary, like the Turkey Trot, Walk for Wellness, etc - sharing information via Havens Highlights.

School Pictures: Work with the Havens office and the photography vendor to schedule school picture day(s) and makeups.  Organize volunteers to help on the day.

Traffic safety: Continuing the work established by the committee in ‘21-’22 to maintain a safe drop-off and pick-up environment at our school.  Reps are responsible for school-wide communication and promotion of safe behavior.  Examples may include a “school safety” push at the beginning of the school year, with the traffic safety rules and pledge.  Also, ongoing monitoring of the drop off and pickup points as well as making sure traffic safety tools (signs, stanchions, etc.) are in good condition throughout the year.

Emergency Prep: Work with the Havens office to make sure all classrooms have up to date emergency backpacks, first aid supplies and emergency drill signage.  This is done at the beginning of the year, and should be checked ad hoc a few times throughout the year, including once at the end of the year to set the following year up for success.

5th grade yearbook: Create a yearbook for graduating 5th graders.  Tools and templates/examples will be shared from years past.  This is a good role for parents’ with children who might like to be involved in the creation process.

5th grade party: Plan the year end party for the Havens 5th grade class and work with Spring Fling team reps to communicate at a tri-school 5th grade graduation event (parent-party).

Gardening: Keep Havens garden is in good condition.  You will be provided access to the school’s water and tools.  Plant if desired, with office approval.  Opportunities to work with the SpringFest team to plan a gardening event or the ASE team to offer a gardening class - it’s really what you make of it.  Suggested monthly maintenance of the garden.

Liaisons to the Board: Non-Voting...
Giving Campaign (PEF):  Havens site reps for the Giving Campaign fundraiser.  The Giving Campaign is a check writing program.  Funds raised support all the things we love about our schools: small class sizes, specialist classes, mental health and wellness resources and classroom aides (to name a few).   Reps are responsible for school-wide communication and promotion to raise awareness about the campaign and encourage participation.  The Giving Campaign is led by PEF and a leadership team and functions across all schools/grades in Piedmont.  This program runs in the first half of the school year. The work is typically outside working hours and limited to the Fall.  This is a great opportunity for people who want to be involved, make an impact, work on a team and have flexibility to do the work when it's most convenient for them.

Harvest Festival (PEF): Havens site rep for the Harvest Festival.  The Harvest Festival is an annual Piedmont event, primarily driven by the Rec Department and PEF.  Rep is responsible for school-wide communication and promotion.  They are also responsible for recruiting volunteers for the event, most importantly for the class scarecrows.  The rep will report into a leadership team for Harvest fest.  This event happens in September.

Spring Fling (PEF): Havens site reps for the Spring Fling fundraiser.  Spring Fling is an event and auction driven fundraiser.  Reps are responsible for school-wide communication and promotion.  They may also be responsible for assisting event planning, auction procurement, etc.  The Spring Fling is led by PEF and a leadership team.  This is an elementary tri-school program.  This program runs in the second half of the school year.

Education Speaker Series (PEF): Havens site rep for the Education Speaker Series.  Rep is responsible for school-wide communication and promotion, mainly in Havens Highlights.  Rep also acts as liaison with PEF and may get involved if desired in the program execution as needed.  The Education Speaker Series is planned by PEF in isolation of the school-site rep, though feedback is always welcome.

School Board Liaison:  Responsible for attending School Board meetings (virtually) and note-taking (and/or reviewing publish meeting recaps).  Responsible for providing a brief update about School Board activities at each HPC meeting.  Responsible for coordinating with Havens School Board rep as appropriate for Havens needs as determined by the executive board and administration.
