Completing this form does not constitute a finalized reservation. Events plans are vetted and rooms are scheduled by Cogut Institute staff once form submissions have been reviewed. Cogut Institute staff will be in touch with you to confirm your reservation.

Requirements: The responsible party must be present on site at all times for the event. Cogut Institute staff are generally unavailable to troubleshoot facilities, catering, or AV issues. Please review the space usage information and guidelines. All equipment and lights must be turned off when the event is concluded. All furniture must be returned to its prior location. Units are responsible for returning space and equipment in good condition. Organizers will be responsible for lost equipment or for damage to space, furniture, and equipment beyond normal use.

Please take special care to remember to close any windows if you open them.

Evening/ Weekend events

The responsible party must email humanities-institute@brown.edu at least one week in advance to request that the building be unlocked during the time of the event. Exterior doors must not be left propped open or unattended.

Organizers must ensure that all attendees have left the building at the end of the event and all exterior doors are closed and locked. Organizers will be invoiced for lost equipment or for damage to space, furniture, and equipment resulting from doors being left open and unlocked.

Facilities

Room 110 may be configured many different ways. If you use the help of Facilities for room setup, you must submit your setup request well in advance through Planon. You may move tables and chairs that are already in the room without the help of Facilities, but please be cautious as you move furniture through this historic space.

All space must be returned to its default setup at the end of the event.

Furniture available:  By default, room 110 and the neighboring seminar room 106 contain about 40 chairs and 8 tables. Additional furniture is stored in room 103. You will need to submit a facilities order to bring furniture from 103 into rooms 110 and 106.

Departments organizing humanities events may fill out this form to request financial assistance for facilities costs.

Media Services
Support from Media Services is required for all media/technology needs, unless you receive training on basic mics or projections from Cogut Institute staff beforehand. Student or external groups must use Media Services. Please note that reservations made fewer than TEN (10) Calendar days in advance of your event are subject to a $150 rush processing fee and may be denied.

Limited funds are available to support departments organizing humanities events: please fill out this form to request financial assistance for media services costs.

Food
The rooms in Andrews House are carpeted. Food and drink are allowed; however, waste must be removed and a facilities clean-up is required. Your department is responsible for any damage or stains. Rug pads should be used to prevent drips from beverage dispensers and other spills. Rug pads can be borrowed from the Cogut Institute, and are stored in 106A.
