We are excited to announce the first ever Kelham Pride, bringing together all the venues you know and love in the area and a street takeover to celebrate the LGBTQIA+ community. Please read the below practical information about trading at this event, if you have any questions please use the ‘any other information’ section in the application form.

Stallholders will be selected by the Kelham Pride committee who will review applications fairly and respond if your application have been successful.

TRADING AT THE EVENT

Alongside a programme of entertainment across Kelham Island we have two options:

Gazebo Pitch - £100 + vat 

  • 3x3m Gazebo (no sides provided)

  • No tables will be provided, please bring your own 

  • Roaming Security to ensure you maintain a safe selling space

Floorspace - £60 + vat

  • 3x3m Floorspace 

  • Safety team will mark out space to exhibit

  • Please bring your own set up - if bringing a Gazebo / Temporary Structure ensure this is weighted correctly and has associated H&S documents 

  • Safety Team will sign off set up pre-event opening

  • Roaming Security to ensure you maintain a safe selling space

There will be a series of social posts from Kelham Pride account announcing your involvement plus a PR campaign across Sheffield in the run up to the event for max. exposure

DATES / TIMES

SATURDAY 1st JUNE

9.30 - 10am - Check in at 92 Burton Road Sign with Event Team 

10am - Load in for stall 

11am - All Vehicle’s off-site 

12noon - TRADING BEGINS 

9pm - TRADING CLOSE (no vehicles on-site until 10.30pm)

10pm - Outdoor Event Close (guests disperse to local venues)

All loading vehicles will need to be off site 45 mins before the event starts and we will enforce this strictly. Traders are expected to be ready to open at the start of the event and actively trading by the above times.

RATES

Price to participate: 

Gazebo - £100 + VAT

Floorspace - £60 + VAT

Payment is due: Friday 12th April 2024

You space is not secured until payment is received

You MUST NOT pack down or move your set-up until the event ends at 9pm. You may clean down your equipment within your unit, but please do not dismantle your set-up and you must leave all lighting / branding in place. In the interest of public safety, vehicle movement is prohibited until the site has been cleared. You must await instructions before moving your vehicle or bringing a towing vehicle onto site at the end of the event.

PARKING

Wherever possible we encourage attendees to arrive on foot or by public transport. For those arriving by car or taxi, our address is below. Please note: parking is extremely limited around Neepsend with only on-street parking available. The closest large car park is roughly 5 minutes away from Burton Road at Brookshaw Car Park, Russell St, Sheffield S3 8RW.

TERMS & CONDITIONS

By applying to trade at Kelham Pride,  you agree with the terms and conditions outlined below:

1. Your place will only be secured once we’ve received your deposit and ALL required documentation.  Documentation must be in date and accurate, as required by the H&S legislation.

2. While trading, the set-up and installation of your equipment must adhere with your documentation and risk assessments. Failure to do so endangers the health and safety of event attendees and we may ask you to stop trading.

3. Please ensure your waste is securely bagged and placed in the correct waste bin, if the bins are full, please plan to take your waste off-site with you. This is very important for the overall success and longevity of this hopefully annual event.

4. Please leave the land/ground you trade on exactly as you found it, taking measures to prevent any spillages under your trading stand, we want to be respectful to Kelham Island Community

5. To sell exactly what is specified on your application - we will send an email closer to the time for any amendments. If you wish to amend your product list / style we must be informed of this prior to the event, this is a stipulation of our licensing agreements and you may be asked to cease trading if your product list differs too far from the initial application.

6. You are not permitted to serve alcohol, coffee or hot drinks at the event.

7. It is the responsibility of you as a trader to properly train and brief any employees, workers or subcontractors who are brought to work at our venue. All traders and trader representatives must adhere to our event safety plan and risk assessments. We will proactively aim to enforce our site rules, but we do not accept any liability for any non adherence to site rules by trader representatives, employers, workers and subcontractors.

Please ask our project management team if you require any clarification of site rules.

SAFEGUARDING

Kelham Pride is an inclusive event for all ages, elements of the event will be of a 18+ nature, please be clear in your application any products you wish to sell that would have an age restriction - this will not hinder your application, it will allow us to position you somewhere suitable. Please also prepare to keep some products shielded / on request only.

Depending on the response and curation of stalls, we may also create an over 18’s area to enable the sale of more explicit products whilst also safeguarding attendees - so please be open in your application on what you would like to sell and the committee will give feedback 

CANCELLATION

In the unfortunate event that you need to cancel your attendance at the event, please inform the Event Manager ASAP. If this is more that 60 days before the event, we will be able to fully refund of your deposit and any payments made, after this date the following fees occur:

- 60-30 days - 50% of your deposit is refundable

- Within 30 Days - Non-refundable

In the unfortunate circumstance that Kelham Pride is cancelled,  all Traders will be informed ASAP and offered a new date to move to. If a new date cannot be agreed, refunds will be available. If the event is cancelled the stallholder will be offered a booth at a similar sized future event. We reserve the right to change the venue or the dates of the event.


GUARANTEE

Kelham Pride is committed to providing promotion and entertainment across the site, with a talented mix of stalls, merchandise, music, street food, craft beers.  Whilst also encouraging existing businesses in the area to ‘lean in’ to festivities We also commit a considerable

amount of money to the production and marketing of this event, to encourage maximum attendance and coverage. We love to collaborate and will be working across our social channels to re-post and support any trader’s personal marketing in order to maximise reach. 

This being said; we cannot guarantee you work, we advise you to incorporate the promo of this event into your own brand’s marketing plans this year to ensure maximum exposure.

ON-SITE

Please make yourself known to the Event Manager on arrival who will talk you through the best / safest way to access the site with your equipment - during the build you are welcome to drive up to your site unload, then find a parking space after. 

You must not obstruct walkways or encroach into other booths, any damages to the booths or venue must be paid for. Banners and Posters to promote your brand may be attached to your Stall.

Kelham Pride is a member of the LGBT+ Consortium that comprises more than 500 LGBT+ organisations across the UK. As such we require all our stallholders and performers/acts to agree to the Membership Values and Principles of the Consortium. These are:

  • Be friendly, patient, and welcoming: We strive to be a community that welcomes and supports people of all backgrounds and identities.

  • Any form of racism, homophobia, biphobia, sexism, transphobia, ableism, or prejudice based on age, ethnicity, nationality, class, gender identity, sexual expression, appearance, language ability, intersex characteristics, immigration status, religious or spiritual affiliation will not be tolerated.

  • Be respectful of other people’s physical and personal boundaries, time, capacity, and role.

  • Everyone can make a valuable contribution. Not all of us will agree all the time, but disagreement is no excuse for poor behaviour and poor manners. We might all experience some frustration now and then, but we cannot allow that frustration to turn into a personal attack.
