UCI ALP Academic Use Request
UCI Staff and Faculty:

Please complete this form when requesting space in the Anteater Learning Pavilion (ALP) for academic events and programs that are not directly related to a regularly scheduled course. For requests associated with a course, such as a review session, please work with your Schedule of Classes Coordinator to submit the request to the University Registrar.

Students and Registered Campus Organizations looking for classroom space to hold meetings should visit the Student Center & Event Services website to submit requests for other general classrooms. Currently, ALP is not available for this purpose.

Criteria
As one of UCI’s primary instructional facilities, the Anteater Learning Pavilion (ALP) hosts hundreds of undergraduate and graduate courses each year. When availability allows, spaces in ALP may be scheduled for other academic uses coordinated by a UCI faculty or staff member.

To be considered for approval, the event should meet the following criteria:
  • It is sponsored and supervised by a UCI faculty or staff member, who will be present for the duration of the event
  • It is of an academic nature and primarily serves the UCI community
  • It does not require paid registration or otherwise generate revenue
  • It takes place during regular building hours (weekdays 8am-10pm, excluding holidays)
  • The sponsor agrees to pay any expenses incurred for cleaning, facilities services, technical support, and/or repair of damages
  • The sponsor demonstrates that they have completed all necessary risk assessments and are in compliance with University policies
  • The sponsor agrees to move or cancel the event if the space(s) are required for regularly scheduled courses
Events that do not meet these criteria are unlikely to be approved. Exceptions will be reviewed on a case-by-case basis. If an exception is granted, the event may be subject to additional fees, including venue rental fees, security services, and administrative costs.

Scheduling Timeline
All requests should be submitted at least 3 weeks in advance to allow time for review. For events that require exceptional approval or fall under the UCI Major Events Policy, up to 12 weeks may be needed depending on the level of review and planning required.

Please note that requests for events occurring on instructional days (i.e., most weekdays) cannot be approved until the class schedule for that quarter has been settled. In some cases, this may take until the third week of the quarter. For example, an event request for a weekday in February would not receive approval until mid to late January.
