The Sunflower Festival at Alvis Farms 2022
We are excited to open our Sunflower Fields again this summer, for the 4th annual Sunflower Festival at Alvis Farms. Thank you for your interest in participating as a vendor. Please read through this application in its entirety, and let us know if you have any questions.

Because the growth of the sunflowers is dependent on Mother Nature, we cannot set our dates in stone as far in advance as we'd like. We are learning each year, and have projected dates of July 18 - August 3 this year. We are still monitoring the flowers closely in case we need to adjust our dates, but wanted to go ahead and get our anticipated dates on vendors' calendars. Refunds will only be given if the festival dates do not match the projected dates and are no longer convenient for the vendor. Thank you for understanding and working with us!

Event Times:
Weekdays (Monday - Thursday): 5pm - 8:30pm
Weekends (Friday - Sunday): 9am - 8:30pm
 

Set-up Times:
Monday - Thursday: 3:30pm - 4:30pm (vehicles moved to designated parking area by 4:30pm)
Friday - Sunday: 7am - 8:30am (vehicles moved to designated vendor parking area by 8:30am)

Food Vendor Application
Please fill out the application below. Completing this application does not guarantee acceptance. Your application will be reviewed and you will be contacted to confirm your acceptance as a vendor for this event. This is to avoid duplicates to ensure vendors have the best opportunity for success. Applications will not be taken after July 17.  If accepted, payment must be made within 7 days of acceptance or on the first day you attend the festival, whichever comes first.


One Weekend Day (Fri, Sat, OR Sun) Vendor Fee: $100 + 10% of profit
One Weekend (Fri, Sat, & Sun) Vendor Fee: $275 + 10% of profit
Both Weekends Vendor Fee (6 days): $500 + 10% of profit
Weekday Fee: $50

Refund Policy:
Vendor Fees are non-refundable unless the event is cancelled due to weather.

Electricity
This event is located in a field on a farm. There will be no electricity available unless you provide a generator. Please let us know below if you will be bringing a generator so we can place you in an appropriate location for noise issues.
Water
There is no potable water available on site; food vendors are responsible for providing their own water from an approved source.

Tent
Due to the location of the field, there is no shade again this year. Please feel free to bring a tent to put in front of or beside your truck. We will have a mist tent, water bottles available for sale, and some shade, but we want everyone to be aware that it's going to be HOT!
**Tent weights of at least 25lbs/leg are required for all tents
Festival Hours
The festival will run for approximately 17 days this year. Please select all the dates which you will be available to participate in the 2022 Sunflower Festival. Upon receiving your application, we will email you to let you know if you've been accepted, and if so we will confirm the dates you will be attending and what amount is due to reserve your spot.

This is a non-smoking event, smoking will not be allowed on the premises.
Smoking, Vaping, E-Cigarettes, and Marijuana are all strictly prohibited
Vehicles are not permitted inside the festival area until the festival has ended.
Vendors are expected to stay on-site, and be open for the duration of the open hours of each day they're present at the festival.
Vendor Rules & Agreement
Vendors are to provide their own tent, tent weights (25 lbs minimum per leg), and tables. It is required that a qualified representative be on site during all open hours to man your booth(s). Vendors are responsible for securing booth and products overnight as well as providing protection in case of inclement weather. Alvis Farms Events and any of their sponsors or representatives, will not be held responsible in case of accident, injury, theft, or damage to any persons property and/or merchandise. Wineries and cideries must provide their own ABC license. Food vendors must have appropriate permit from the local health department.

Please share these rules with anyone who will be helping man your booth.

I understand that if I am accepted as a vendor,
- Alvis Farms Events will determine my booth's location
- I am responsible for bringing tents, tent weights (25 lb minimum per leg), back drops, tables, chairs, fans, extension cords, ice, etc. as needed for my booth
- I, or a qualified representative, will be on site during all open hours to man my booth; if my booth is set up during open hours I agree to be present and vending
- I agree to only use the entrance gate to come in and out of the festival during open hours (removing, cutting, or climbing over fencing will not be tolerated and I understand that I will be fined if I or any representatives of my business are found damaging Alvis Farms' property)
- I will only be allowed on the property during designated set-up times and during festival hours.
- There is no smoking, vaping, e-cigarets, or marijuana allowed on the property
- I am responsible for submitting my information to the health department, to let them know that I will be vending at this event
- I, and my team, will follow all sanitary regulations from the health department (no aprons worn in the porta potties, hands washed, etc.)
- The festival does not carry insurance to cover my personal property; I store and display my products and belongings at my own risk.
- I am responsible for reporting sales tax directly to the state of Virginia.
- I agree to set up during the designated setup times, and will not dismantle my booth until the festival has closed each day.  

I understand that failure to abide by these rules will result in me not being asked to come/accepted for future events.
