2021-21 DriveSafe Executive Application
This form is due Friday, March 19th at 11:59pm. Interviews will be conducted virtually. You must ensure that you complete all the necessary sections for all the roles you selected as interested (i.e. if you select VP Operations (1st), VP Communications (2nd), VP External (3rd), you must fill out all three sections of the form). The positions we are recruiting for this year are as follows:
General exec responsibilities:
• Attend biweekly executive meetings
• Hold weekly office hours
• Attend all social events
• Be responsive on executive group chat / Slack
• Forward the phone on operation dates occasionally
• Remain on-call during DriveSafe operation hours
VP External (3hrs / week)
• Point of contact for external bookings (ex. Frosh, carnival, science games, etc.)
• Manage bookings and reservations of special event vehicles
• Act as liaison between special event coordinators + VP Volunteers + VP Operations + VP Finance
• Be the contact point for MealCare partnership
• Fundraising activities if required
• Creation of a sponsorship package
• Contact external organizations to try and acquire sponsors
• Engaging with external partners to bring awareness to DriveSafe, drunk driving, safe driving, and winter driving initiatives
VP Volunteers (10hrs / week)
• Creating and maintaining monthly shift schedule
• Keeping volunteers up-to-date with important information (via message or Facebook group)
• Responding to all volunteer questions/concerns and handling any other problems as they arise
• Keeping track of volunteer requirements (i.e. maintaining strike policy, tracking volunteer hours for Co-Curricular Record, etc.)
• Coordinating recruitment of new volunteers
• Developing, overseeing, and running semesterly training
• Serving as intitial point of contact between volunteers and executive
VP Finance (5hrs / week)
• Cheque requests, PO's, Petty Cash forms to fill out weekly for volunteers
• Draft an annual budget at the beginning of each fiscal year after completing proper consultation from each Vice President
• Meet with SSMU VP Finance for approval of DriveSafe's annual budget
• Keeping track of actuals weekly
• Occasional Meetings with SSMU VP finance to ensure SSMU policies are being met and to be informed of any changes regarding financial status
• Usually ~biweekly signing of cheque requests for van rentals at SSMU building
• Handling any financial issues for the service
VP Internal (5hrs / week)
• Planning events throughout the semester for the DriveSafe community
• Including two volunteer appreciation events
• Including other social events (ex. House parties, etc.)
• Writing biweekly / monthly newsletters to inform the community of important events or elements that other execs want to be included
• Sending out minutes (meeting outline) document to execs day before the meeting + taking notes during meetings
• Ensure availability and reliability for volunteers and their varying needs
• Being available to help other execs
• Staying up to date with emails and executives Slack
**Note that the above listed responsibilities are relevant to a normal academic year. COVID-19 has made our operations unpredictable, so role responsibilities and estimated hours may not be exactly as outlined here.
