Job Description:

We are seeking a dynamic and experienced Practice Manager to join our team. The Practice Manager will play a key role in the efficient operation of our group psychotherapy practice, ensuring the delivery of excellent client care while supporting the clinical team. This position requires strong organizational skills, attention to detail, project management, team leadership, and a passion for promoting mental health and wellness. 

Key Responsibilities:

  • Administrative Management:

    • Oversee the day-to-day administrative operations of the practice, including scheduling, billing, and client intake processes.

    • Maintain accurate client records and ensure compliance with privacy regulations (e.g., HIPAA).

    • Oversee billing and providing resources for out-of-network reimbursement for clients. 

    • Review payroll reporting 

    • Update Standard Operating Procedures

    • Ensure internal processes and procedures are efficient and serving organizational goals

    • Oversee office operations including office lease, office supplies, and coordination of clinicians in the space

  • Human Resources:

    • Recruit, train, and supervise administrative and clinical staff members.

    • Conduct performance evaluations and provide ongoing support and feedback.

    • Foster a positive and supportive work environment that promotes teamwork and professional growth.

    • Propose and implement strategies for employee retention. 

    • Monitor labor law updates and ensure compliance

    • Foster a diverse, inclusive, and safe work environment for clinicians of all backgrounds, abilities and identities. 

    • Keep handbook up to date

  • Client Services:

    • Serve as the primary point of contact for client inquiries and concerns.

    • Facilitate the intake process for new clients, including scheduling appointments and completing necessary paperwork.

    • Monitor client satisfaction and implement strategies to enhance the client experience

  • Marketing and Business Development:

    • Collaborate with the clinical team to develop marketing strategies to attract new clients and retain existing ones.

    • Represent the practice at community events and networking opportunities to promote our services.

    • Explore opportunities for expanding the practice's reach and services.

    • Update practice website and social media

    • Develop and implement SEO and social media strategies

Qualifications:

  • Bachelor's degree in business administration, healthcare management, or related field (Master's degree preferred).

  • Previous experience in healthcare administration, preferably in a mental health setting.

  • Strong leadership and interpersonal skills

  • Proficiency in practice management software, Google Business Suite, and Squarespace

  • Knowledge of healthcare regulations and compliance requirements, including HIPAA.

  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

  • Excellent customer service / client care skills

  • Experience supporting a neurodiverse team preferred

  • Commitment to promoting mental health and wellness in the community.

Benefits:
