HCLS FANFEST 2025 Panel & Presenter Application
HCLS FANFEST will take place on TBD, 2025 from 10:00 AM to 5:00 PM at the Bay St. Louis Community Hall (301 Blaize Avenue, Bay St. Louis, Mississippi).  This is a mini-con hosted by the Hancock County Library System and is free to both the public and to participating presenters.  

FAN-FEST will feature a panel room with a schedule of presenters and panelists.  We also have space throughout the venue for activities and workshops.

Complete and submit this form for consideration as part of our panels and programming.  Participation in HCLS FAN-FEST 2025 is not guaranteed—the planning committee will select presenters based on space limitations and programming goals.  The HCLS FANFEST planning committee has the right to invite or refuse presenters, based on the library’s programming goals and resources.

Will you need anything for your presentation, panel, or activity?
The panel room will include a laptop and projector, with speakers and a microphone.  HCLS will record all presentations and panels.

If you need a certain set up other than theatre style seating, please specify.  Any other needs or preferences?

Rules & Guidelines

Hancock County Library System, the City of Bay St. Louis, and any sponsors or programming partners shall not be liable for any claims for loss, damage, or injury to persons or property connected with your participation in this event.  All information I have provided to library staff related to my intended participation and activity is complete and accurate. 

  1. Library rules of conduct and the facility lease agreement apply to all participants.  Presenters agree to follow all posted notices, instructions, and requests of library staff.
  2. Presenters may sell merchandise they are authorized to sell (i.e. copies of their books) and must possess the necessary certificates and permits required to sell and collect sales tax.
  3. Presenters are responsible for any supplies, equipment, or merchandise they bring to their presentation.  All materials must be removed at the conclusion of their scheduled presentation or activity.  
  4. Presenters will not display or sell any obscene, illegal, or unsafe items.  Dangerous materials, including anything that may be flammable, toxic, or explosive, are prohibited.  Confetti, glitter, and craft materials that could leave permanent marks are not allowed.
  5. By participating in this library event, you consent to be photographed, filmed, and/or otherwise recorded and to release, publication, exhibition, or reproduction of any recorded media of your appearance, voice, and name for promotion and marketing.

If unforeseen circumstances prevent me from attending or impact any scheduled programs, I will notify HCLS as soon as possible.  My activities and behaviors at this event may be used to determine your suitability for participation in future library events.
