1. Attend the 2021 Eifel Holiday Bazaar during the business hours, as indicated below. VENDORS ARE NOT ALLOWED TO UNLOAD IN THE HANGAR UNTIL THEY HAVE COMPLETED THEIR CHECK-IN PROCESS. Please check-in at the back of Hangar 1 upon your arrival on Thursday, 09 September. Vendors will be allowed to set-up until 18:00, but must be checked in by 16:00.

There will be no set up on Friday. The vendor shall notify the Bazaar Vendor Contracts Chair, at bazaarcontracts@gmail.com immediately in the event that it is impossible to arrive on Thursday. If you are unable to make it to the bazaar, you will forfeit your registration dollars and reserved space. In the event of a base shut down due to force protection or cancellation of the event due to Covid-19 or another pandemic, all registration. space, and table fees will be returned to the vendor. All German and base health protection regulations will be enforced during the event.

2. Due to updated Bazaar Customs Procedures, all vendors MUST have a Passport and/or Country ID with them at ALL times (specifically, the ID that was provided to the Vendor Chair for security screening).
3. Vendor’s choice to accept payment in Euro or US Dollars, your last opportunity to make changes to this will be at check in.
4. Accept only US dollars for purchases from customers.
5. Pay a SIXTEEN PERCENT (16%) commission on all sales made during the Eifel Holiday Bazaar. ALL paperwork (contract, space agreement, security, PGCC (Police Good Conduct Certificate), EFT, and customs) is due 20 July 2021.
6. Pay a TWO PERCENT (2%) bank charge on all credit card sales, in addition to the 16% commission. No personal credit card machines may be used.
7. Vendors will supply their own electrical equipment to include extension cords and power strips. 52d Services Squadron and Spangdahlem Bazaar committee reserve the right to remove any faulty wiring or equipment.
8. The vendor must carry his/her own insurance to cover any theft/damage to merchandise by customers or during set-up/breakdown of the Bazaar. Proof of insurance will be provided to the Contracts chair upon request.
9. Do not nail, pin, tape or attach anything to the walls, curtains, or floors. Do not nail into the tables or benches. You will be held responsible for any damage to the Hangars.
10. Tables and benches will be provided as previously requested. Vendors must provide their own table covers as needed.
11. Vendor signs are provided by the Bazaar Board and must be easily visible and on display at all times.
12. Vendors are responsible for manning their booth during all Bazaar business hours. Volunteer booth assistants may help customers and watch the booth during short breaks, but are not allowed to sell merchandise. Spangdahlem Bazaar committee and its volunteers are not responsible for
broken or missing items.
13. Every customer MUST sign the Vendor Sales Sheet for each purchase. If a vendor does not have the customer sign the Sales Sheet, the vendor is liable to pay $50 towards the purchase of the item. (Example: If an item costs $75 and the customer does not sign for the purchase, the vendor will pay $50 towards the purchase price. Customer will pay the remaining $25.) To prevent fraud, all such transactions will be handled by a member of the Bazaar Board.
14. Vendors will record the FULL price of all sales on the collection sheets provided by the Bazaar office. Sales include on site purchases, special orders, items to be delivered and layaways. The cash collection sheets are numbered and tracked by the Bazaar Office. All vendor sales sheets will be collected only when they are more than three quarters full during operating hours. You are responsible for filling out the sales sheets correctly and legibly.
15. No ‘out of house’ sales may be arranged during the Bazaar. Vendors who conduct sales in the parking lot, ask customers to come to their place of business or another location instead of purchasing at the Bazaar, or do not record the entire amount of ordered merchandise will be asked to leave the Bazaar immediately.
16. Trash is NOT to be deposited at base facilities outside of the event area. The vendor will not be allowed to check out and receive final payment until their area is clean. Each vendor is responsible for removal and disposal of ALL trash and packing material throughout the duration of the Bazaar. If a vendor is found using base facilities for trash removal, they will be fined based on the cost of removal of their trash.
17. Vendor agrees to release to and permit use by Spangdahlem Bazaar committee of any photographs taken during the bazaar of the vendor’s person or booth, for the purposes of identification and sales and marketing.
