J.F. Cooper PTA Officer Application/Nomination Form - Due on Tuesday, April 11, 2023

At the May 24, 2023 membership meeting that starts at 6:30pm, PTA members will be electing officers for the following roles for a term of two (2) years:

VICE PRESIDENT OF EVENTS

VICE PRESIDENT OF WAYS AND MEANS

SECRETARY

We are seeking all candidates who are focused on serving the Cooper Community with a common goal. All of the roles rely on a sense of responsibility, dependability, a positive attitude, a sense of organization, the ability to work well with a team, and excellent communication skills.

NJ PTA training and guidance will be provided for each role. See the JF Cooper PTA Bylaws and J.F. Cooper PTA Standing Rules for more details about role expectations/requirements. 

The NJ PTA Local PTA Resources Hub also provides information to members so they can understand the process of how candidates are selected and guidelines for specific roles.

The nominee must be a PTA Member.

You can nominate yourself if you are interested in a position

You can apply for more than one position.

You can nominate more than one person.

If you nominate someone else, ask their permission before filling out the form

All nominees must confirm interest in the role before a slate of candidates is selected. 

Members of the Nominating Committee will review applications and have confidential deliberations to select 1 candidate for each role based on their qualifications. The committee must communicate to membership if they cannot find a qualified candidate for any role. 

**NJ PTA allows Nominating Committee members to run for positions themselves. However, they are not to participate during discussions for role(s) in which they are interested. This is why we have an alternate committee member. For example, if Member 1 runs for secretary, Members 2-4 would deliberate in private.**

If you are not selected and are still interested in running for a position, you can submit your intent to run from the floor 20 days prior to the election. In this case, a ballot will then be created.

All elected officers are responsible for ensuring that the Local PTA Standard of
Affiliations is adhered to in order to to keep this PTA in good standing with New Jersey PTA, the
IRS, and the State of New Jersey.

VP OF EVENTS
  • Attends board and general membership meetings (either virtually or in-person)

  • Schedules on-site and off-site events with the board for the school year (i.e. Skate Night, Bowling Night, Trunk or Treat, STEAM Fair, Talent Show, etc.) Events are subject to change each year.

  • Leads event committees/chairs by keeping them on schedule and explaining PTA guidelines and best practices for success at each event

  • Coordinates events as needed

  • Creates/updates flyers or requests them from chairs for monthly communications to families

  • Performs the duties of the President in the absence of that filled position (with the VP of Ways and Means)

VP OF WAYS AND MEANS
  • Attends board and general membership meetings (either virtually or in-person)

  • Schedules fundraising activities with the board for the school year (i.e. Dine Outs, Fall/Spring Fundraisers, RaiseRight, Raffles, Spirit Wear, Plant Sales, etc.) Fundraising activities are subject to change each year.

  • Leads any committees/chairs doing fundraising by keeping them on scheduled and explaining PTA guidelines and best practices for success

  • Creates/updates flyers or requests them from chairs for monthly communications to families

  • Keeps track of fundraising goals & reports progress at each PTA meeting

  • Performs the duties of the President in the absence of that filled position (with the VP of Events)

SECRETARY
  • Attends board and general membership meetings (either virtually or in-person)

  • Keeps minutes from all PTA General Membership and Board meetings

  • Keeps attendance records from all meetings 

  • Presents prior minutes for approval at all PTA meetings 

  • Maintains a copy of current bylaws, standing rules, and a current membership list

  • Performs other role-related tasks as requested by the board
