Bobcaygeon Bikefest Vendor Application 2023
Welcome to the application process to become a Vendor at Bobcaygeon Bikefest Bikefest on June 3rd, 2023 located at Tommy Anderson Centennial Park at 94 Dunn Street Bobcaygeon, ON K0M 1A0. 10 am to 5 pm.

All sections of this form must be completed and payments received for your participation as a vendor to be confirmed. Rules and Regulations are outlined below and must be read, acknowledged and signed by yourself for the vendor application to be accepted.

IMPORTANT INFORMATION BEFORE YOU PROCEED
  1. This is a rain or shine event.
  2. All rules and regulations to participate as a vendor are set due to either Municipal Regulations and/or to keep our costs down as this is a not for profit event, and we will also be raising money for Women's Resources and The Humane Society of Kawartha Lakes and surrounding regions. 
  3. It takes a lot of time and money to run an event this size so please respect or rules so that we continue with a greater success next year.
  4. All Vendor Fees are non-refundable and must be paid immediately after your application is received. The only exception for a 100% refund is if we are forced to close this event down due to government restrictions or regulations. No other exceptions will be made.
Payment methods are as follows:
  • E Transfer directly to wegotyourback@thefallenriders.com. No  password is required, with your vendor contact name BOBCAYGEON attached in the notes.                                                                          
  • Cheques can be made payable to 2518102 Ontario Inc. and addressed to 2518102 Ontario Inc, C/O Leona Davies -  Event/Manager Organizer at 164 Ardmore Avenue, Lindsay, ON K9V 2T5.  Your vendor contact name BOBCAYGEON attached in the notes.
  • All methods of payments are your vendor cost per 10 x 10 booth (stated in the vendor cost section), add the 13% HST which will then give you the total to send. Failure to do so will be cause for your vendor application process to remain incomplete.
  • Confirmation of your application and payment received will be emailed to you from our Events Manager.
  • If any other arrangements need to be made or you have inquiries please email Leona at events@thefallenriders.com 
  1. Vendor Set up will begin on June 3rd, 2023 at 7 am and must be completed by 9:30 am.
  2. Vendor tear down begins no sooner then 5 pm and must be completed by 9 pmJune 3rd, 2023.
  3. You are responsible to bring your own source of power and potable water as none is provided.
  4. This is in outdoor event, therefore you need to bring and use your own tables, chairs and tent/coverings and because we are using a municipal park they require that the tents be weighted down, or pegged. 
  5. All vehicles used to setup must be removed immediately after you have unloaded to the designated parking as this will delay other vendors from setting up. No vehicles are allowed on the grass so we suggest you bring a wheel truck to unload your wares for set up. The location will be relayed to you the day of.
  6. While setting up, or tearing down, please be courteous to other vendors doing the same.
  7. When setting up, or tearing down please be informed that the property for the Event is a public park and set up will be on grass and baseball diamonds. Any damage caused to the property by your vehicle,  it will be the hosts that receive a charge back for the damages you cause. If this is the case then you as a vendor are liable for these damages and we the hosts will then properly notify you verbally as well as send you an invoice for these damages where you will be billed for the costs and our administration fees. The payment will be due 30 days from receipt, with a 22.9% interest fee charged daily until it is paid in full.
  8. Your exact vendor location will be confirmed with you 2 weeks before the event, no sooner, with a follow up from our Events Manager/Coordinator Leona by way of email. Events@thefallenriders.com 
  9. No late set-up, unless you have made previous arrangements with our event team, as this causes conflict and disruption within the event. Your vendor fee will not be refunded as it is your responsibility to arrive on time.
  10. All vendor garbage, cardboard, cans, bottles AND cigarette butts, must be cleaned up in its entirety throughout the event, in your own garbage receptacles and removed from the premises by yourself.
  11. DO NOT USE our garbage receptacles to remove your garbage. Failure to clean up your site properly will be noted and you will no longer be allowed to participate in any of our future event.
  12. Due to that this event is being held on Municipal Property within the City of Kawartha Lakes you must be a registered business or artist for sales, artist or have zero sales and are purely there for promotion, or be a registered charity/not for profit to become a vendor.
  13. No Raffles, 50/50 cash sales are allowed unless you possess a lottery license.
  14. If you are selling raffles for cash or 50/50 tickets for your organization we require you to send us confirmation and a copy of your license to events@thefallenriders.com 10 days before the event.
  15. No liquor sales.
Food Vendors Only
  • To participate as a food vendor whether registered within the City of Kawartha Lakes or not you must fill out the link below no later then May5th and email the completed form back to us.
  • Failure to provide the proper documentation, a certificate of inspection (GREEN). 2 paper copies are required, one for our records, to be emailed to events@thefallenriders.com and one to be displayed at your location, before the event will mean your immediate expulsion from this event, as this documentation is a required by law, and we as the Event Host will be fined as will your business.
  • Your application fees to become a vendor are non-refundable in this case, as this is your responsibility to assure it is complete and on time for this event
  • You will not receive a reminder from our Team and we can not be held responsible.
  • All Food Vendor locations are a 10 x 10 spot only. If you require extra room for a sitting or serving area please choose the next booth size up, or larger if required. 
  • Please bring your own  garbage receptacles for WASTE for your location and maintain them throughout the event. 
  • Please note any garbage left by your business will be an automatic no return to any event we host in the future. It is your responsibility to remove this from the premises as previously stated above.

It is The Fallen Rider Support Teams goal this year to raise money for numerous charities with every event we have this year and there are many, and we ask you to join us to make a greater impact for those in need in our communities.

Women's Resources and The Humane Society of Kawartha are the two chosen charities for Bobcaygeon Bikefest this year.

Prizes will be awarded the day of for the Top Pledge earner, Top Team raising the most pledges (maximum ten team members) and Top Pledge Earner within a Team for non vendors and for all Vendors registered and participating in Bobcaygeon Bikefest if you raise more then $250.00 in pledges you will receive a $50.00 rebate from your already paid vendor fee from us directly after the show date.

All pledges collected will receive a tax receipt directly from the charity at their time of mailing.
