Vacancy: Program Assistant
Training & Research Unit of Excellence (TRUE) would like to engage the services of a competent and dynamic individual to work in exciting research programs at the TRUE offices in Blantyre. Appointment will be made on a fixed term basis for two years, which may be renewed depending on performance and availability of funds. Applicants are invited to fill the following positions:

POSITION: Program Assistant 1 post, based in Blantyre

Job Summary: Providing administrative and logistical support to all TRUE Staff and projects as well as communicating between the Chief Operations’ Office and managerial staff. He/She will also be responsible for creating and updating program schedules and assisting in the planning and managing program events.
                                   
Duties and responsibilities
Duties shall include but not limited to the following:
Perform general and program specific clerical functions (e.g., maintaining office filing and record keeping system)
Assist in the preparation of progress and financial reports for all studies.
Assist with managing the procurement process for study items and ensuring timely provision of study material to research team
Initiating purchase requests and requisitions and keeping track of the stages through which, each order is routed until receipt and payment. This involves; sourcing quotations, following up on requisitions with procurement department and maintaining records of purchasing documents issued.
Fleet management of all motor vehicles and cycles under TRUE.
Maintains office calendars and sends out reminders of impending appointments.
Drafts memos and letters as requested.
Files and proofreads documents.
Maintains physical and computerized office records.
Assists in overseeing the budget for routine or special events.
Assists in planning and overseeing special events
Organizing and attending meetings, make reservations for off-site business meetings and minutes taking
Inventory and asset management.
Any other duties assigned time to time by Management, Team Leaders, COO etc.

Qualifications and experience
• Minimum of diploma in Business Management/ Administration from reputable and accredited     College/University
• At least 3 years working experience in related field with excellent time management skills
Proficient with computer technology and Microsoft Office applications
• Be able to work under pressure and be able to multi-task and work within a team
• Good written and verbal communication skills in English
•  Strong analytical, presentation, communication and problem-solving skills
