2023-2024 BES PTA Chairperson and Committee Volunteer Opportunities
The PTA at Ballantyne Elementary strives to make our school the best it can be.  We provide funds to teachers to enhance their classrooms as well as to the school for professional development, technology,  and improvements to the building.  We also provide activities that strengthen our school community.  To accomplish this, we need dedicated parents who volunteer their time and talent.  Please see the positions below and consider helping make BES the BES-t it can be.

Open Chairperson, Coordinator, & Committee Positions
There are lots of different opportunities for chair people. Some lead groups of volunteers and work with their VPs to provide special events for students, families, and staff.  Other chairs help the PTA run smoother.  Some committees run all year while others are responsible for one-time events. Many of these can be done outside of school hours and are ideal for working parents.  
Art Fundraiser
This volunteer helps coordinate the annual art fundraiser with Ms. Zelinski, our fabulous art teacher. The fundraiser begins after Winter Break with art purchases arriving before Mother's Day. The chair helps organize the materials for Ms. Zelinski, and ensures that all students are accounted for once the artwork is completed during art class. The Art Fundraiser chair assists with getting out information about ordering, helps to submit any check orders received to the vendor, and organizes and distributes the orders that are purchased when they arrive at the school.  The chair also is responsible for following up with the vendor to ensure that our fundraiser check is received and turned into the treasurer. This is a great position for someone who would like a very short term volunteer role as it is only required for a small window of time in the spring.

Beautification
The Beautification committee plants flowers, decorates the school and helps to make the entrance a more welcoming place for our visitors!  A great role for someone who can only stop by on evenings or weekends since it is usually all outdoor work.
Family Events
This volunteer will work closely with our VP of Hospitality and Special Events to plan multiple family events throughout the year. This volunteer will also assist with getting information out to the community and day-of coordination. These events are held during the evening and/or on the weekends.
Book Fair
This group of volunteers will work closely with our Book Fair Chair to organize and run all 3 book fairs that are held at BES (Fall, Spring and BOGO). You will be responsible for helping setup & cleanup, keeping track of inventory, and helping to staff the book fair during fair hours.
PTA Bulletin Board
In charge of seasonally updating the PTA bulletin board in the front hallway and maintaining the PTA calendar on the board.  This job must be done during school hours but is usually only a once a month commitment to update the calendar and change out the decorations.

Carnival Committee
This committee will work with the VP of Special Events to plan the Spring Carnival. They will be responsible for finding a location, planning activities, gathering raffle items, soliciting volunteers, and booking vendors. They will also provide information to Communications to share with the school community. The committee will then host this event, with the help of the PTA board and other volunteers, outside of school hours on the date chosen.
Cultural Arts Assemblies
This role will work with the President, school, and the Arts and Science Council to schedule all Cultural Arts Assemblies for the year. This person will be the main contact between the ASC and the school, and will be responsible for confirming timing and scheduling of events. They will work with Communications to share information about upcoming assemblies with the community. They will be responsible for submitting the invoices to the treasurer for payment.
Class Parent Coordinator
This person organizes the largest group of volunteers at BES. They ensure each classroom has class parent coverage, and finds helpers for classes where no one originally volunteered. They prepare email information that must be sent out through class parents. They ensure class parents are organizing class parties and work to resolve issues that may arise. The coordinator runs one or two training meetings close to the beginning of the year. Once class parents are up and running, very little maintenance is required except to remind class parents about party emails and to solve any one off issues that come up. All email templates can already be found on our PTA website (www.ballantynepta.com/parenthub) so no writing is required!

First Grade Art Night
This coordinator organizes the 1st grade student art gallery night (usually in February each year) where Ms. Zelinski chooses art from each student in the grade to display.  Organizes the submitted art and then mounts the art to colored card stock for display.  On the day of the event, the coordinator helps Ms. Zelinski to hang the art in the hallways and host the event for the families at night.  The time commitment is very minimal and is mainly only during the week leading up to the event.

Hospitality
One of our staff's very favorite committees!  This committee is in charge of helping to organize the fun events that we do for our staff throughout the year. They are in charge of deciding on dates and themes for each of the "teacher treat" events held throughout the year.  They build sign-ups based on what food they want served to match the theme and provide those sign-up links to Communications at the beginning of the year to post to the website and promote each month. They monitor the sign-up to notify Communications if more volunteers are required for food or help. When the day of the event arrives, they staff the event from set-up to clean-up in the teacher workroom on the day of the event. They are in charge of the 2-3 teacher events that we have catered during the year. Hospitality plans and executes Teacher Appreciation Week each year (the week is fluid and is determined by the Principal and PTA President each year). Events are planned each day of the week for the staff. Hospitality is in charge of deciding on these events and planning and executing them. If volunteers are required, a sign-up is built and provided to Communications. Events are also planned for students each day (I.e. wear your teacher's favorite color, bring your teacher a flower, etc.) and they are provided to Communications to inform the parents and students. Hospitality is also responsible for any end of the year teacher events to celebrate the year.
Lost and Found Coordinator
This job can be performed on your schedule but involves coming into the Lost and Found periodically to organize and straighten up the items. Each quarter, items not collected are bagged up and taken to the front office for pickup by a local charity. Various methods have been used in the past to determine what items have been in the Lost and Found long enough to donate but usually involves tagging items and then providing a pickup date to Communications to announce. Once that date passes, any tagged items remaining are donated while new items that have recently arrived are left to be collected until the next donation date.

Media Center Volunteer Coordinator
Organizes the large pool of volunteers that we have helping out in the BES media center. They provide training to new volunteers and coordinate volunteer shifts. During their shifts, our media center volunteers help kids navigate our book collection, keep our library in order, and assist Ms. Cooper in checking in returned books.

Newcomer Hospitality
This chair welcomes new families to BES and answers any questions they may have.  You are responsible for helping schedule tours of the school and updating the Welcome Letters available to new parents.
Popcorn Committee
In charge of working with the PTA President to plan Popcorn Friday dates for the year. Once decided, they build a sign-up to provide to Communications to solicit volunteers. Reviews inventory and orders supplies as necessary. Staffs each event with their volunteers to pop popcorn for all students and staff. Popcorn days usually last from 8 am to 11 am and the frequency is at the discretion of the Chair and the Executive Board each year.
Reflections Art Contest
In charge of reviewing the North Carolina Reflections Art contest rules/categories and deciding which categories we will offer for submission. They are then responsible for communicating the rules and contests to the PTA Board VP of Communications to announce the contest. When submissions are received they are mounted and submitted to the appropriate contest contact per the instructions.
Spirit Wear
This committee works with our VP of Fundraising to plan the sale of our school’s spirit wear throughout the year. This includes working with the vendor, being available at school events to sell the spirit wear, tracking orders, and coordinating delivery if needed.
Field Day
This committee will work closely with Coach Sluder to plan an annual field day for students. This event takes place close to the end of the school year during school hours. The committee will work to plan activities, solicit volunteers, and provide information to Communications to send to the community. On the day of the event, the committee will work to set up, coordinate volunteers, and break down the activities.
Paw Press

This role manages the PTA sponsored newspaper club and produces, with a team of journalism-minded students, 4 Paw Press Editions each school year. Works with the PTA Board VP of Programs to set the schedule for when the club meets in both the fall and spring and then is the adult in charge of each club meeting. Responsible for submitting the 4 editions to our printer and then submitting the invoice for payment or reimbursement.

Yearbook Committee

This committee will work closely with the VP of Fundraising to create the yearbook. They will organize and verify that they have all student and teacher pictures, gather pictures from events and the school throughout the year, plan the design of the yearbook, and help with the process through ordering and delivery. This committee will provide information to Communications about the ordering process, and will ensure that all orders are delivered upon arrival to the correct families.

5th Grade Celebration Committee

This committee will plan the 5th grade celebration held at the end of the year. They will work with the board to pick a date and theme, plan activities and/or entertainment, and provide refreshments for the celebration. This committee also provides information to Communications to share with the 5th grade families. This committee will then be on sight to host the event during the time planned.

Advocacy Committee
The advocacy committee shall develop and organize meetings, activities, and programs to further the goals and purposes of the PTA. This committee is tasked with improving communications and relationships between school staff and families; educating families and caregivers on important issues related to the health and educational success of their children; and helping to make each child’s potential a reality.

Nominating Committee
Throughout the year, the nominating committee is tasked with identifying talented, motivated, and responsible individuals to serve as officers of this local PTA. Prior to the last general membership meeting each fiscal year, the nominating committee shall prepare a slate of nominees for officers of this local PTA for the upcoming year, and the president shall include that slate in the notice for the last general membership meeting, and the chair of the nominating committee shall place such names in nomination at that meeting, and the election shall be conducted as provided in the PTA bylaws.

Audit Committee
The audit committee will meet once monthly to review the PTA’s bank statements and supporting documents. They will ensure that the PTA’s expenditures were consistent with the approved budget. The committee will meet and review financial records if a board member with check signing authorization leaves office before the end of the fiscal year. The committee will review the treasurer’s end of the year financial report and the PTA’s financial records and state in writing whether or not the treasurer’s year-end report is correct. This statement will be included as a part of the complete annual year-end report submitted by the PTA.
