Spring 2024 Commencement Event Staff Registration Form
Thank you for your interest in participating as event staff for the Spring 2024 Commencement ceremonies! 

Tuesday, May 21: 
  • 1:30 p.m. Event Staff Training, in person at the CEI Arena**
Wednesday, May 22: 
  • 10 a.m. Graduate School Ceremony 
Thursday, May 23: 
  • 10 a.m. Undergraduate Ceremony #1 (CAHSS, Erickson School, and the School of Social Work)
  • 3 p.m. Undergraduate Ceremony #2 (CNMS, COEIT, and the Individualized Studies Program)
All ceremonies will be held in the Chesapeake Employers Insurance Arena. We will be in touch with assignments and information about where/when to report.

Role Descriptions & Approximate Time Commitments
Please review, then select your top two choices in the question below. Approximate time commitments are organized by the 10am ceremonies // 3pm ceremony. 

Accessible Seating & Assistance: Event Staff will staff the Accessibility Services table in the Arena Lobby, answer questions and walk guests with special needs to designated seating areas. Approximate time commitment: 8:30 - 10:15 a.m. // 1:30 - 3:15 p.m.

Front of House (Directors of First Impressions): Event Staff will greet guests at main Arena entrances, assist with directions to seating areas/accessibility table/restrooms and serve as ushers. Approximate time commitment: 8:30 - 10:15 a.m. // 1:30 - 3:15 p.m.    

Outside Guidance: Event staff will be stationed outdoors at entrances to the arena. They will provide directional guidance to the separate graduate, faculty/staff and guest entrances. Approximate time commitment: 8:30 - 10:15 a.m. // 1:30 - 3:15 p.m.

Reserved Seating: Event Staff will direct guests to reserved VIP seating area and make sure others do not sit in the assigned seats. Approximate time commitment: 8:30 - 10:15 a.m. // 1:30 - 3:15 p.m.  

Directional Guidance: Event Staff will be stationed at strategic points within the area to direct participants to appropriate staging areas. They will also troubleshoot, keep traffic flow moving, assist with regalia, ask if grads have their GradPass. Approximate time commitment: 8:30 - 10:15 a.m. // 1:30 - 3:15 p.m. 

Graduate Lineup*: Event Staff will assist graduates in lining up according to school / program / alphabetically, confirm they have their GradPass to walk across stage and assist with regalia if needed. Approximate time commitment: 8:30 - 10:15 a.m. // 1:30 - 3:15 p.m.  

Graduate Seating*: Once the ceremony begins, Event Staff will direct students from the procession line to their seats on the floor. When the students' names are called, staff will guide them from their seats to the stage. Approximate time commitment: 9:30 a.m. - 12:00 p.m. // 2:30 - 5:00 p.m.

Faculty/Staff Lineup: Event Staff will check in faculty/staff who will process in the ceremony, answer their questions, assist with regalia and robing as needed and coordinate lining them up. Approximate time commitment: 8:30 - 10:15 a.m. // 1:30 - 3:15 p.m.
