Meeting Room Reservation (Singapore Only)
SG Meeting Room Reservation and Usage Rules and Regulations:

A) Meeting Room Reservation:

1) Meeting room open for usage 7 days a week from 10:00 am – 10:00 pm, subject to availability except for every Tuesday, Wednesday & Thursday 6:00 pm onwards.
There are 3 slots for reservation. The slot is as follows:

    a) 10:00- 14:00
    b) 14:00- 18:00
    c) 18:00- 22:00

2)    Meeting room usage for BES event are subject to charges of SGD100. The requester is required to make the full payment upon reservation is successful.  
3)    Any BES event reservation cancelled in less than 3 days, the fee is non-refundable.  
4)    The maximum capacity is 168 pax. Any request for hall booking with attendees of more than 168 pax shall be rejected.
5) The Company reserved the right to reject/ close for reservation without prior notice.
6) Reservation must be written to the Customer Service Dept via CSS or walk-in to the CS counter at BE HQ. Phone reservations will not be entertained.
7) Reservations must be made 7 working days prior to the actual meeting date and cannot be booked for more than two months. For example: On January 1st, reservation is allowed for meetings between January 8th and February 28th.
8) Only DCA ranking and above are allowed to make a reservation.
9) The below information is needed during reservation:

    a. IBO’s Name & IBO ID
    b. Number of Pax
    c. Purpose of meeting
    d. Date and time of the meeting
    e. Please state the equipment you require: AV console system, table (please state how many units)

B) Rules & Regulations:

1) The requester shall ensure the host and all participants adhere to all SAFE MANAGEMENT MEASURES by the local government.
      a.         Participants must be full vaccinated, and sanitize their hands before entering the premise;  
      b.         Must put on a mask at all times
2) Each meeting room only allows to use up to the maximum of 4 hours (from reservation time). If you wish to extend the hour, please inform Customer Service Representative.
3) Cancellation must be notified by CSS 3 working days prior to the meeting. Without any written cancellation is equivalent to absence and the company has the right to make the conference room available to other leaders.
4) For weekday reservation: The requester is required to arrive at the office 30 minutes before the meeting starts to register and collect the room key.
5)    For weekend reservation: The requester must collect the room’s key at the office by Friday, latest by 6:30 pm for the weekend reservation.
6)    For reservations end by 10:00pm or weekend reservation, the requester shall put the key into the prepared envelope and drop the envelope into the designated mailbox before leaving Tai Seng premise.
7) The company will allocate a suitable room according to the capacity and usage of the reservation.
8) If the following issues arise during the use of the meeting room, the company will blacklist the network and reserves the right to pursue for compensation from the requester:

        a. Did not follow the rules of the meeting room/ hall usage;
        b. Absence for 3 times and above;
        c. Misuse of the meeting hall/ room;

9) The company will not be responsible for any damage, loss of property or damage to the attendees during the use of the meeting room. However, the company will reserve the right to pursue and claim for compensation from the leaders.
10) No food and drinks are allowed to be brought into the meeting room.
11) No littering.
12) No kid, infant or pet is allowed to enter the meeting hall/ room.
13) Before you leave the hall/ room, please ensure you switch off all the electrical appliances including lights, air- conditionals, fans (if any), projector, shut off the water filter piping (if any), etc. Otherwise, a penalty of $100.00 will be imposed.
14) After the meeting, please arrange the tables and chairs (back to the original layout before it changed) and ensure the room is clean and tidy.
