All sponsors/exhibitors will be assigned an exhibit space if one is desired. VFRI retains the right to reject any exhibitor that is deemed inappropriate.
Hotel reservations and travel arrangements are the responsibility of the exhibitors.
All sponsor levels and exhibitors will have a six-foot table with table linens and two chairs (unless otherwise noted).
Basic WiFi is provided in the meeting space but if exhibitors require a specific amount of dedicated bandwidth, there will be the potential for extra charges to boost the connection. This will be payable to the hotel.
No part of an exhibit, signs, or other materials may be pasted, nailed, or otherwise affixed to walls, doors, or other surfaces in a way that mars or defaces the premises, equipment, or furnishings. Damage from failure to observe this notice is payable by the exhibitor.
Exhibitors may not sublet or divide their display area or show items for any non-exhibitor.
Displays may not be placed so that they interfere with other exhibits.
VFRI will not be held liable for damage or loss to an exhibitor's properties through fire, theft, accident, or any other cause, whether the result of negligence or otherwise.
The exhibitor assumes the entire responsibility and liability for losses, damages, and claims arriving out of injury or damage to the exhibitor's displays, equipment, and other property brought onto the premises of the hotel and shall indemnify and hold harmless the hotel and VFRI's volunteers, agents and employees from any such losses, damages, and claims.
All sponsors and attendees agree to adhere to AFP's code of conduct, as published on VFRI's website.
Please email your logo (JPG format) and other details required (such as correct use of the sponsor/exhibitor name, trademarks, etc.) no later than May 31, 2024.
Sponsor forms, and payment, are due by May 1, 2024.
Once your fee is received, the company logo will be posted on the VFRI website as a Sponsor or Exhibitor.
