NEW YORK STATE'S LARGEST GAMING EVENT RETURNS THIS OCTOBER - NOW A 3-DAY SHOW! 
VENDOR BOOTH INFORMATION - 2024 UPDATES!
Full transparency: overall we have increased vendor prices by 10-15% over last year. It's not our favorite thing to do, but the increase is necessary to accommodate the extra show day and our increased venue and rental costs. The good news is that we are expecting a sizeable attendance increase over last year! We've added a larger discount for artists/crafters/game devs, and added in free electricity for game devs. We have also upgraded the size of the 10' wide booths to 10x10 (previously 10x8) and are expanding aisles for easier attendee traffic flow. 

The booth choices available are:

1. 8'x8' in-line booth - comes with 1 6' table and 2 chairs
2. 10'x10' in-line booth - comes with 1 8' table and 2 chairs
3. 8'x16 endcap - comes with 2 6' tables and 4 chairs
4. 10'x20' endcap  - comes with 2 8' tables and 4 chairs

NOTE ON ENDCAPS: Endcaps are expected to sell out VERY QUICKLY so please let us know your backup booth type in the notes section at the end of the application. If you need more space than the single endcap, you can add in-line booths of the SAME TYPE (8x8 for the 8x16 endcap, 10x10 for the 10x20 endcap) to expand your space. 

Vendors receive 2 attendance badges for the weekend regardless of # of spaces purchased. If you require additional vendor badges beyond the 2 included with your space, you will need to purchase them at the 1/2 price rate of $25/person (covers all 3 days).

WE ARE NOT ALWAYS ABLE TO ACCOMMODATE SPECIAL REQUESTS FOR PLACEMENT (but we do our best).

Electricity for vendors is an additional $80 and can be purchased below (FREE FOR VIDEO GAME DEVS). 

Note about Wi-Fi: Wi-Fi will be free for vendors this year, but may not be 100% reliable at peak times. We are working on ways to improve the Wi-Fi.

Artists, Crafters, & Game Developers
We are offering a special deal for Artists, Crafters, and Game Developers! Booths for Artists/Crafters and Game Developers will receive a $75 discount off the listed booth price, regardless of booth size chosen.

All Artists, Crafters and Game Developers are required to submit a link in the form below to an online sample of the works you will have available at RetroGameCon. (a link to store website, Facebook page, Etsy store, online gallery, etc.)
Payment
Payment is through SQUARE INVOICE which will be sent to the email address you provide us with below. You are able to use a credit card to pay the invoice through Square. NOTE: PAYMENT IS DUE WITHIN 10 DAYS AFTER RECEIVING YOUR INVOICE, OR YOUR SPACE WILL BE FORFEITED. We need to be fair to all interested exhibitors as we receive many more applications than we have space for. 

Please be aware that your spot is not reserved until your application has been approved and payment has been recorded.
Note about Extra Life Charity Raffles
Every year, we raise money for our local Children's Miracle Network Hospital, the Upstate Golisano Children's Hospital. These funds are raised via the Extra Life charity through raffles and a Sunday auction at RetroGameCon. We rely on our vendors to help us fill the raffle baskets and raise money for the kids. We donate 100% of proceeds from these raffles and the Sunday auction.

Venue / Show Rules
*Absolutely no alcoholic beverages or illegal drugs may be brought into The Oncenter. Vendors found violating this policy will be removed by security without warning. Don't despair: alcoholic beverages are available for purchase from the food service areas (valid ID required).

*Animals are not allowed in The Oncenter - an exception is made for service animals.

*Food and drink sales are NOT permitted. Outside food and beverages are against Oncenter policies and may be confiscated. CLEAR WATER BOTTLES ONLY are ok. Food and drink are available at the concession areas.

*Vendors are prohibited from selling any AI-generated artwork. Only original, handcrafted, or artist-created items are allowed for sale.

*No for-profit raffles, lotteries, or games of chance are allowed. Exceptions may be made on a case by case basis for non-profit games or charities (at RetroGameCon's discretion)

*Bootleg copies of game cartridges/discs/movies are prohibited. Vendors assume all legal responsibilities for their own goods. 

*Vendors must be able to remain set up and open for business during all listed show hours.   

*We reserve the right to remove vendors for violating any of these rules. No refunds will be provided for vendors removed due to a Venue / Show Rule violation.

*It is the duty of the exhibitors to comply with local, NY state, and federal laws including the collection of sales tax. In accordance with state law, trade show vendors are required to collect and remit NYS sales tax, and to obtain and display a New York State Sales Tax Certificate of Authority at all times.

*Vendors (with the exception of game designers) may not share booth space with another business without obtaining permission from RetroGameCon before the event. Proxy selling (having someone who is not your employee sell your goods) is not allowed. Exhibitors found in violation of these rules may be removed at RetroGameCon's discretion. 

*Empire Game Expo LLC, RetroGameCon and the Oncenter are not liable for loss due to theft or property damage.

*If the event is cancelled due to act of God, war, etc, Empire Game Expo LLC will refund your payment in full but has no further obligations or liabilities.

*No refunds for vendor spaces after invoices have been paid.

Advertising & Sponsorship Options
Program ads are a great value for vendors with our full-color printed & digital program. We are proud to be one of the few conventions that produces a beautifully designed physical printed program. The printed program has a circulation of 8000, and in 2023 our digital program was accessed over 30,000 times. Consider adding a coupon to your ad to maximize sales at your vendor booth! We can also help design a professional program ad for your business (additional fee applies). Links to your company website/social media are automatically included with the digital version of the program.
