Staff Child Application Form
This form should only be used for staff children (the child of a volunteer attending camp).

Please ensure you have read the below Guidelines for Volunteers Accompanied by their own child / children. These guidelines seek to promote a consistent approach when volunteers are accompanied at the camp by children and young people under the age of 18 for whom they have parental responsibility.

These guidelines are effective whilst the camp children are on site (i.e. from the first Tuesday morning until the second Thursday morning).  During Camp build and take down, parents are advised to consider carefully the risks of bringing their children onto a site where there is heavy machinery in operation.

Children Aged 8 years and under (School Years 3 & below): All children within this age group should be accompanied at camp by two adult parents/carers. If one of the parents/carers is performing a Tent Leader role it is expected that the other parent/carer cares for the children as their primary role at camp. If parents/carers wish to share childcare responsibilities during camp they are welcome to join the Activity or Cookhouse teams where they will perform one full-time equivalent role between them. Parents are expected to adhere to the same bedtime for their children as the rest of the camp children at the latest.

Children Aged 9-14 Years (School Years 4-10): All children within this age group will join a tent group for the duration of the daytime and evening activities and their parent/s will perform a full time role. The parent/carer will be expected to inform the Staffing Coordinator of the days that their child/ren will be onsite. The Welfare team will liaise with the parents/carers and Tent Leaders at the start of camp to allocate the child to a tent group.  Staff children will not be put in their own parent’s tent group. The Derby Toc H staff will take responsibility for these children on and offsite for the duration of the activity programme. All children’s behaviour will dealt with in line with the camp behaviour guidelines. When all activities are complete in the evening, responsibility for the child will revert back to their own parent/carer until activities resume the following morning. Parents are expected to adhere to the same bedtime for their children as the rest of the camp children.
If a child decides not to join a tent group they will be the responsibility of their parent throughout the camp and the guidelines for children aged 8 years and under will apply.

Young People Aged 15-17 Years (School Years 10 & 11 until they are 18): All children within this age group will join the Junior team for the duration of the daytime and evening tasks and activities. The Derby Toc H staff will take responsibility for these children on and offsite for the duration of the activity programme. All children’s behaviour will dealt with in line with the camp behaviour guidelines.
When all tasks and activities are complete in the evening, responsibility for the young person will revert back to their own parent/carer until activities resume the following morning. Parents are expected to adhere to the same bedtime for their son/daughter as the rest of the Junior team. Young people within this age bracket should not attend camp unless they are willing to join the Junior team.
