Code of Care Freelancer Form
This form is one of two documents relating to how Catherine Wheels can best support and understand the perspective of the freelancers we work with. The other document is the Code of Care Tool Kit, which you can find here.

The Code of Care Tool Kit and Freelancer Form are designed to be used together, with the Tool Kit offering thoughts and guidance on how to fill out the Freelancer Form. We would recommend that you read through the Tool Kit before completing the form.

The Freelancer Form should filled out by anyone, and is an opportunity for you to let us know your requirements for taking part in our projects. It is a living document that can be re-submitted as required.

Under each heading are examples of things to consider but your response should be personal to you and your needs. If you are having difficulty articulating your needs you can refer back to the Code of Care Tool Kit, or if you would prefer to have a conversation around your needs, please do contact us. Please be as detailed as you like, and any sections that do not apply can be left blank. Find your way to make The Tool Kit and the Freelancer Form useful to you.

Please do talk to us, so that we can support you in the best way possible. This Code of Care has come from listening to freelancers and is there to support you, for as long as it feels relevant to you. We are still actively listening. Introduction to you

If you would like to, you can use this space to write a brief intro paragraph about you and your work/arts practice. You can also write about an impairment or condition if you wish to, and let us know how it affects you.

e.g. I am a dance artist with ADHD. I can sometimes become overwhelmed and would value having a quiet space outside of the rehearsal room to go to if I need it.
Pre-contracting information

This is an opportunity for you to ask any questions regarding your contract. These can include but aren’t limited to:

- Is this a paid opportunity or are you asking for me to volunteer my time?
- What is your budget?
- Will my travel expenses be included or paid in addition?
- What is your Covid-19 / general health & safety policy?
- When will I receive a contract/agreement from you confirming the above?

e.g. As a freelancer, I’ll be working on other projects at the same time. How much do you expect me to work in-person on this contract?
Communication

Please let us know your communication needs. For example:

- I will need a BSL interpreter for in-person meetings
- I prefer email when sharing information rather than a phone call
- Please use yellow paper/large format for paper documents

e.g. I have dyslexia and it takes me a bit longer to process information. Please send relevant information at least two days before a meeting
Working Conditions

Let us know about your needs during a working day, and any conditions or arrangements that should be in place for you to work at your best, including any rest requirements. This could include, but isn’t limited to:

- Ample notice of changes to working days/hours
- A clear overview/schedule of the week before starting rehearsals
- Regular breaks in line with ITC/Equity guidelines
- Not arranging meetings over lunchtime
- Level access and an accessible bathroom

e.g. I have a support worker who will accompany me in the rehearsal room. This is/isn’t covered by my Access to Work grant, so I will/will not need financial support for this
Creating a Safe Space

We understand that creative spaces can sometimes feel unsafe for a variety of reasons. Please tell us how we can best support you. This can include, but isn’t limited to:

- When you may need time out to gather your thoughts
- When you need the company to be explicit about their allyship
- When there is the space for you to reflect back to us your lived experience

e.g. As a Global Majority practitioner my experience shapes my work and the contribution I bring to paid roles. Please understand that conversations around racism can be triggering for me. I ask you to hold this in mind when discussing this topic in meetings or wider platforms.
Future Fee Agreements

Catherine Wheels aims to offer rates of pay that reflect the expertise of the freelancers we work with, as well as the precarity of freelance work and the financial climate. As such we annually assess our rates of pay with the intention of setting our fees at the upper end of the industry standard in Scotland.

While fees are usually set before the point of contracting, we value any feedback from those we work with on desired fee structures, with an aim to meet or exceed those rates in the future.

Please use this space to let us know about your ideal Day Rate / Hour Rate / Half Day Rate / Weekly Rate, and any additional expenses you would hope to receive.

e.g. My ideal rate is £200 a day/£700 a week. If I am travelling over 25 miles from my home base to rehearsal/a venue, I prefer to travel by car and would charge mileage at a rate of 0.45p per mile.
