iLRN 2023 Conference Committee Interest Form
Thank you for your interest in helping out with iLRN 2023, the 9th Annual Conference of the Immersive Learning Research network! This conference will be online (mid-May) and in San Luis Obispo, California (end of June). Please complete this form to express an interest in being part of the Conference Organizing Committee . Please note that this is distinct from the Program Committee, which is responsible for reviewing papers and proposals for the conference.

The main roles for which we are currently recruiting are described below. Please note: we are hoping to have several people collaborate together to accomplish each of the roles. We have a lot of roles to fill, so please indicate below which areas are of interest.


๐๐ฎ๐›๐ฅ๐ข๐œ๐š๐ญ๐ข๐จ๐ง๐ฌ ๐‚๐ก๐š๐ข๐ซ๐ฌ
The Publication Chairs are responsible for the coordination of production of conference content (e.g., papers from special tutorial sessions or colloquia, summaries of conference papers, programs, etc.) and serves as the point of contact for all IEEEXplore submission-related inquiries before and after the conference. The main responsibility of the Publication Chair(s) is to produce, or coordinate with contractors to produce, the program/abstracts book (if any) and the conference proceedings. Publication Chair(s) should work closely with the Program and Practitioner Chairs from the outset to ensure the Call for Papers and website contain the necessary information to make authors aware of the IEEE stylistic and formatting requirements.

International / Publicity Chairs
The International / Publicity Chairs are responsible for oversight of dissemination of the Call for Papers/Proposals with the International Co-Chairs and Publicity of the conference via social media, email, and other channels. The design, formatting, dissemination and marketing of the Calls for Proposals, reminders of the CFPs, and invited speaker and special session announcements via email and social media (e.g. Twitter, FaceBook, Instagram, etc.). The chairs are also responsible for updating the iLRN website and communicating with the rest of the conference committee on a regular basis to obtain relevant and timely information to disseminate.

The Registration Chairs are responsible for ensuring that all authors of the accepted proposals are registered and have paid their conference registration fee. The chairs are also responsible for communicating with the Program Chairs and Practitioner Chairs to ensure that all scheduled sessions have paid presenters.

Doctoral Colloquium Chairs
The Doctoral Colloquium Chair/s are responsible for organising and recruiting participants to the Doctoral Colloquium session, a student-focused activity for the iLRN conference.ย This involves working with the Program Chairs, advertising the Doctoral Colloquium, planning activities for research students and creating networking opportunities.

The Awards Chairs are responsible for determining the various awards that will be given at the conference. This involves communicating with the Program Chairs and Practitioner Chairs to develop criteria for each award and to determine who wins which award. This includes dissemination of awards and certificates.ย 

Evaluation Chairs
Evaluation Chairs advocate and oversee development of a mechanism for collecting conference feedback (responses that are valuable, honest and insightful) to involve invitees and to evaluate objectively the success of the conference. Evaluation Chairs also collect final reports from all iLRN Organizing Committee members for presentation to iLRN Board of Directors.ย

The Game Jam Chairs are responsible for assembling the Game Jam portion of the main conference program. This includes creating, disseminating and marketing call for proposals (CFP), managing the reviewing software, communicating with the General Chair, recruiting program committee (reviewers) for submitted games, creating instructions and form for reviewers and review process diagram, and ensuring that all game submissions are double-blinded according to website instructions. After decision on games are made, Game Jam chairs are also responsible for organizing and scheduling the GamJam sessions, coordinating GameJam presenter training, and organizing volunteers to run conference sessions.

Opportunity & Inclusion Chairsย 
The Opportunity & Inclusion Chair role is to advocate for diverse dissemination of the CFP and provide input with focus on diversity and inclusion at the conference, from access to people with disabilities, ethnic, gender, racial representation and other perspectives of inclusion at the conference. Opportunity and Inclusion Chairs support the growth of the Program Committee by encouraging diversity and inclusion.

Session Chair Directors
Session Chairs are responsible for finding and providing oversight for qualified volunteers to introduce authors, keep track of time, and facilitate discussion during conference sessions.ย 

Videos, Posters, and Exhibitions Chairs
The Videos, Posters, & Exhibitions Chair/s are responsible for supporting contributors to prepare video presentations to appear in the conference program, posters to be presented in the iLRN Virtual Campus and/or the physical venue.

Volunteers Chairs
The iLRN Conference depends on the contributions of various volunteers. Some are students, others are professionals lending their expertise and skill to the success of the events. The Volunteers Chair will provide oversight and facilitate the volunteers across both online and local face to face conference activities.


Although we are unable to offer financial remuneration to Organizing Committee members, each member will receive free registration for the conference as well as premium membership in the iLRN Circle of Scholars. You will become a critical part of the emerging iLRN ecosystem.
