Our ECOFEST has a mandate to showcase local business who have products which are Eco-Sensitive, Organic, Local Handcrafted or Artisans and their creations.  
Please note on the application a brief description of what your craft/vendor product(s) are.

We will send an email confirmation once we have approved your business as a vendor/exhibitor. We reserve the right to refuse a vendor who does not meet our standards for ECOFEST.
Vendors -If you have paid on/before May 22 you are approved.  
Non-Profit - will be assigned a location for their table.


POLICIES :

Each vendor will donate 1 item + Business Card,  for our raffle table which must be provided when the vendor arrives Friday night or Saturday morning.  We thank you for your donation as this is another important way that we raise funds for our school improvement.

Products, services, or programs promoted at ECOFest must be related to protecting or preserving our natural environment or promoting sustainable living behaviours.  Our ECOFEST has a mandate to showcase local business & non-profits who have products which are Eco-Sensitive, Organic, Local, Handcrafted or Artisans and their creations.

HPS ECOFest  is committed to respecting the natural environment. To keep the school grounds clean and undamaged is one expression of this commitment.
Our zero-waste practices, are another such expression:
We require Exhibitors  to minimize any plastics.
There will be composting and recycling bins on-site, and all waste materials should fit into one of four categories:
• Recycling – Paper or Metal
• Compostable food and/or biodegradable packaging
• Recyclable Multiple use plastics e.g. large oil containers
The sale or free distribution of disposable plastic water bottles at Eco-Fair is prohibited. The event promotes “BYO Water Bottle” and “BYO Cup” as a part of the zero waste model.  Drinking water filling station is available onsite in the school.

No Vendor Shall sell food intended for consumption at event or be in competition with HPS designated Food & Beverage Vendor(s) or HPS Bake Sales.  Food that is packaged and intended for consumption elsewhere, shall be permitted. (examples: bottled jams, honey, syrups, "Grocery" food and vegetable products). Please be specific in description when submitting an application..

SET UP AND TAKE DOWN:
Vendors/Exhibitors are responsible for their own set-up and tear-down. Parking will be roadside and will require moving your equipment and products up to 500’.  Advised to bring their own carts/dollies for transporting display material.  We will have onsite overnight volunteers Friday night, for vendors that choose to setup on Friday.
Vendors/Exhibitors are requested to set up their display:
on Saturday morning (Outdoor spaces only) from 7:00am to 8:30am
***TAKEDOWN Will Occur between 3pm and 5pm Saturday May 25th at 3pm following the event.***
Please note, some time will be required to enable a path to side gate for vehicle loading. This will be managed by an Event Volunteer. Please be patient.

No Vendors/Exhibitors shall disassemble, remove their display before the official closing time.
All exhibits must be fully removed from the area directly after closing time.  Display must be intact,  staffed, and functioning for the duration of the Festival.

The use of tape/adhesive of any kind on the floors and walls is prohibited.

Vendors/Exhibitors displays must not protrude beyond the measured booth and may not be taller outdoors, than 10 (ten) feet, which allows for a Gazebo outdoors OR not taller than 8’(eight) indoors

SPACE RELOCATION The event coordinators reserve the right to relocate a Participant/Vendor should it be necessary for the proper functioning of the Festival.

 The Participant/Vendor agrees to adhere to all pertinent fire codes, laws, ordinances.

ALLERGIES:  NO NUT or SEAFOOD or LATEX Products ONSITE - some children are highly sensitive, please refrain from these items out of consideration for their safety.
COVID Health & Safety Protocols will apply, based on what is occurring at the time of the event.
