VFLWB Tourism Grant 2024
Orange County Convention & Visitors Bureau (dba Visit French Lick West Baden) considers our Tourism Grants as an important aspect of our mission and purpose.  We believe by adding events and projects that attract overnight visitors, increase local engagement, exhibit community pride and highlight our cultural histories, we continually further the marketing of our area thus increasing our tourism dollars spent in Orange County.

Grant Categories

1. Community Event Sponsorship:
  • Apply for this sponsorship if your organization has smaller, local events. 
  • The total award in this category is $15,000, with up to 5 events in a calendar year.  Each individual event is valid for up to $3000 in funding per event. 
  • Complete an application for EACH event. 
  • You can complete an application in each category if needed.  
  • Request is limited to not more than 30% of overall budget, per event. 
  • This grant can be used for the following items:  media placement, advertising (traditional, digital & social media), creative development, social boosted posts, photographers, final edit photos, videographers, final edited videos, influencers, social media take overs, musical acts, performing acts, culinary experiences, immersive experiences. 
  • VFLWB is to be tagged and listed as a sponsor on 5 social media posts per event that is awarded funding.  All final photos and video are to be allowed for VFLWB to use for marketing purposes in perpetuity.  

2.  Tourism Impact Catalyst: 

  • Apply for this grant if you host a larger single event(s).  This event(s) should be encouraging tourism and overnight stays in Orange County.  
  • Event must be promoted beyond a 50-mile radius. 
  • Complete an application for EACH event. 
  • You can complete an application in each category if needed.  
  • Request is limited to no more than 30% of the overall event budget to be requested. 
  • This grant can be used for the following items:  media placement, advertising (traditional, digital & social media), creative development, social boosted posts, photographers, final edit photos, videographers, final edited videos, influencers, social media take overs, musical acts, performing acts, culinary experiences, immersive experiences. 
  • VFLWB logo is to be featured on all printed pieces. VFLWB is to be tagged and listed as a sponsor on 10 social media posts per event that is awarded funding.  VLWB flags and banners to be placed at event.  All final photos and video are to be allowed for VFLWB to use for marketing purposes in perpetuity.

-Deadline for submission is 2/28/24.  Grant application is to be completed using the on-line link.  No paper submissions will be accepted. 

-Grant funds can not be used for the enhancement of labor, salaries or administrative costs.

-Submitting a request does not guarantee you will receive funds.  Events should not be dependent upon receiving funds in order for it to occur.

-All events must be held in Orange County and the ability for the general public to attend. Ticketed events are acceptable. 

-Significant alterations to the event after approval of grant will require review of the grant application by the CVB Board of Directors.  Failure to complete a project will result in full reimbursement of dispersed funds back to the CVB.

-Funds are intended to be spent within the grant calendar year and should not be stored for other organization events or for future use.  They should be spent on the event in the year the funds are granted.  If funds are not utilized they should be given back to the OCCVB.

-If awarded funds, the CVB logo, telephone numbers, and website information will be placed on all printed materials, digital advertisements, social media, and/or websites.  A sample of advertisements, press releases, brochures and all other promotional material must be submitted with the grant application.  If this is a first year event or current materials are not available, a detailed marketing plan is required for submission.  Marketing specifics as listed above must be adhered to.

-The CVB will be allowed a physical space during the event for a booth, table or similar set-up if desired.

- The event applying for sponsorship dollars must show growth from year to year.  A cycle of three years has been set to see the growth.  After that time if the event does not prove to be growing, future grant dollars may not be granted.

-Tourism Grant funds are distributed to businesses, not individuals. Included in the funding must be the organization’s tax ID number.  If the event is not held, funds are to be returned to the CVB within 30 days.

-For first year events, 25% of grant funding may be withheld until after completion of the event and event recap submitted.

-The CVB may contract to have the event professionally surveyed or engage in professional questioning of event attendees to determine the visitor perception of the event.  The CVB will contract organizers at least 30 days in advance to make arrangements for times and locations.

-If funds are awarded, it is the applicant's responsibility to submit copies of all required permits, licenses, etc for the events and a copy of Certificate of Liability Insurance indemnifying the CVB, Board of Directors and staff from claims for the specific event.  These are required 30 days prior to start of event.

-The CVB may request an event presentation from your entity prior to funding being awarded.  If so, the presentation will take place at the Board of Directors Meeting in either April or May.

-If you are awarded funding; within 30 days of the conclusion of the event, the organization must submit a post event recap.  VFLWB will contact you with a reporting link after your event.  It may be requested that this event summary be presented in person to the CVB board. Failure to provide summary could negate future funding consideration.
