Important informationPlease note this prior to claiming reimbursement:
- We are unable to accept claims older than three months. Claims older than three months will require TPD (for trainees) or DME/CD (for non-trainees) approval in order to be processed.
- Study leave reimbursement doesn't cover examination fees or expenses (but can be used for exam revision or preparation courses)
- Trainees will require a HEE course code please ensure you have this prior to booking. All courses attended must be approved by HEE. Further information can be found on the HEE Portal. FAQs:What is my assignment/payroll number and where can I find it?
Your assignment or payroll number, is your unique identifier used by payroll to make salary payments. It can be found on the top left of your payslip (for information about payslips please go here). Alternatively, your line manager, service manager or payroll department may be able to provide you with this number. Without this, we are unable to reimburse you. What is my yearly allowance?
It varies by staff group (below), please note your budget is calculated pro rata and resets in April each year.
- Consultants: £1000 per tax year (1 April-31 March)
- Trainees doctors: Unlimited with some restrictions in place (Please see full guide for more details)
- All other doctors (inc. Physicians' Associates): £850 per contract year, pro rata This allocation can increase to £1000 for an MSc course.
When do I receive reimbursement?
After the course has occurred and
all the relevant receipts are submitted, the reimbursement will be in next month’s payslip. E.g. if you have submitted your receipts and application in October, your reimbursement will be in November's pay run.
Can I receive payment before the course has occurred?
All reimbursement claims must be made retrospectively and not prior to the course occurring. We understand the financial burden can be significant, but unfortunately we are unable to provide advance payments prior to proof of attendance.
I have left the Trust, can I still claim and how?
Yes, you can. As long as the event took place during your time at GSTT you can claim reimbursement.
- If you left within the past three months, payroll will still have your information. To claim, please follow the same process by completing this form and emailing us your assignment number, receipts and proof of attendance.
- If you left more than three months ago, please complete this form and email us special approval for late submission from TPD/DME/CD (if relevant), receipts and proof of attendance. Instead of an assignment number, please also complete and attach the creditor payment form and we will process this for you.
