Welcome and thank you for your interest in participating as an exhibitor at the 2nd Annual "Spring into Health" Fair. This event is a collaborative effort aimed at increasing health awareness and promoting wellness in our community. Please complete this form by April 15, 2024 to secure your booth space.

Participation Costs:

  • For Non-Profit Organizations: Participation is free.
  • For For-Profit Companies: A fee of $50 is required for table space. This fee supports the fair's operational costs and is due by April 15, 2024.

By participating, you'll contribute significantly to our mission of promoting health and wellness across all ages and backgrounds. Your exhibit can include health screenings, educational materials, and interactive activities, all aimed at fostering a healthier community. Please note, the sale of items is strictly prohibited, ensuring our focus remains on education and health awareness.

Terms and Conditions for Participation in the 2nd Annual "Spring into Health" Fair

By registering as an exhibitor at the 2nd Annual "Spring into Health" Fair, you agree to the following terms and conditions:

Event Timing: Exhibitors must adhere to the event's schedule. The fair is on May 18, 2024, from 10:00 AM to 2:00 PM. Exhibitors may set up their booths from 8:00 AM and must complete setup by 9:30 AM. Dismantling of booths should begin by 2:00 PM.

Booth Setup: Each exhibitor will be provided with a specified space for their booth, one 6'x4' table and 2 chairs. Exhibitors are responsible for bringing their setup materials and any display units. If electricity is required, it must be requested in advance, and availability is subject to the venue's capacity. Exhibitors are expected to maintain a clean and professional appearance in their area.

Conduct: Exhibitors must conduct themselves in a professional manner at all times, providing a safe and respectful environment for attendees, other exhibitors, and event staff. Distribution of materials or conduct of activities should be appropriate for all ages and backgrounds.

Restrictions on Sales: The sale of items at the fair is strictly prohibited. Exhibitors are permitted to distribute informational materials, free samples, or promotional items that are relevant to health and wellness and comply with local health and safety regulations.

Fee for For-Profit Organizations: For-profit companies are required to pay a fee of $50 for table space. This fee must be paid in full by April 15, 2024 to secure participation. Non-profit organizations are exempt from this fee.

Liability and Insurance: Exhibitors are responsible for their property and activities. The Philippine Medical Association of Hawaii, the Filipino Community Center, FilCom Cares, and the University of Hawaii at Manoa Health Careers Opportunity Program (HCOP) will not be liable for any damages, loss, or injuries. Exhibitors are encouraged to carry their insurance coverage.

Cancellation Policy: Exhibitors must notify the organizers by May 10, 2024 if they wish to cancel their participation. Failure to notify by this date may affect participation in future events.

Compliance with Health Guidelines: Exhibitors must comply with current health guidelines related to COVID-19 and other infectious diseases, as mandated by local health authorities. This may include mask-wearing, use of hand sanitizers, and social distancing.

Changes to Terms and Conditions: The organizers reserve the right to make changes to the terms and conditions as necessary. Exhibitors will be notified of any significant changes.
