The administration office of the EMBO | COB Workshop at the National Institute for Basic Biology (NIBB) will be responsible for participants' personal data. The data will be stored securely in our database.
We gather different types of data, some of which you provide when registering or expressing interest in attending the workshop as a speaker, poster presenter, or audience, while others are generated through our interactions with you or sourced from publicly accessible platforms.
Please find below the list of categories in which we collect and process personal information:
- Personal details such as your name, phone number, email address, photo, job function, organization/department name, gender, and nationality
- Address details including city, postcode, and country
- Dietary/medical requirements you may have when registering for an on-site event
- Communications history between us, including date, message content, and engagement statistics
- Survey responses and feedback on various items/topics
- Abstract of your oral or poster presentation
- Photographs taken at the venue during the event.
Personal data collected will be managed in accordance with the Personal Information Protection Regulations and Security Policy of the National Institutes of Natural Sciences (NINS).
The collected data will be processed for managing participation and documenting events through public communication and promotion of NIBB activities. For example, mentioning the speaker's name and their organization on our websites. Some of your data will be shared with EMBO for workshop reporting and surveys. Your presentation abstract will be included in the digital abstract booklet, which will be shared with workshop attendees. Your name, email address, and organization/department name will be shared to facilitate networking among attendees.
Your data will be stored until all procedures concerning this event have been completed. Your published data on the NIBB website will be retained on the site unless you choose to remove it. The photos collected during the event will be stored for as long as necessary for NIBB's public relations activities.
